Robinson Consultants is seeking a self-motivated Project Controller to join the collaborative and dynamic team in our Ottawa office. This position is a core member of the project management team, supporting the financial and operational success of projects. Working closely with Project Managers and Finance, this role handles project planning, budgeting, forecasting, utilization tracking, reporting, and broader support across the project lifecycle.

Although closely aligned with Finance, the position centers on project controls, performance management, and operational support rather than transactional accounting. Ultimately, the Project Controller helps ensure that project financials remain accurate, current, and consistent with both company and client requirements.

What you’ll be doing:

  • Set up and maintain project records in Deltek, including budget structures, billing terms, resource assignments, and project controls.
  • Maintain project budgets, revisions, approved changes, and contract modifications throughout the project lifecycle.
  • Coordinate project invoicing and ensure they accurately reflect project progress and contractual requirements.
  • Monitor project financial performance and proactively identify trends, risks, and potential overruns.
  • Serve as a key advisor to Project Managers on project financial performance, forecasts, and budget management.
  • Maintain project cost forecasts and estimate-at-completion (EAC) models.
  • Review labour costs, subconsultant expenses, direct costs, and commitments against approved budgets.
  • Analyze project profitability and gross margin performance.
  • Support monthly forecast updates.
  • Track project backlog, work-in-progress (WIP), and revenue forecasting metrics.
  • Assist in tracking and reconciling accounts receivable, including monitoring aging reports.
  • Support subconsultant payment processing and tracking.
  • Support invoicing reviews against contracts, project budgets, and approvals.
  • Ensure adherence to internal controls, financial procedures, and audit requirements.
  • Maintain documentation related to contracts, insurance, and WSIB requirements (as applicable).
  • Provide general administrative support to the accounting and operations teams.
  • Identify opportunities to improve project controls, forecasting accuracy, reporting efficiency, and financial visibility.
  • Support implementation of project management tools, dashboards, and reporting enhancements.
  • Contribute analysis and operational support to budgeting, forecasting, and other accounting and finance priorities as needed.

You should have:

  • Bachelor’s degree or diploma in Accounting, Finance, Business Administration, or related field.
  • 5+ years of progressive accounting experience, billing, or project accounting (engineering/consulting environment preferred).
  • Experience supporting multiple concurrent projects in a professional services, engineering, or consulting environment.
  • Experience in project budgeting, forecasting, cost control, and variance analysis.
  • Proficiency in project management and ERP systems such as Deltek Vision, Vantagepoint, or equivalent
  • Experience developing project dashboards and management reporting.
  • Strong attention to detail and accuracy in financial data entry and reporting.
  • Analytical and problem-solving skills to resolve discrepancies.
  • Exceptional organizational and time management skills and the ability to balance diverse, changing, and conflicting priorities to meet goals and objectives.
