JOB POSTING Finance and Administration Coordinator (Ottawa - hybrid)

Canoe Kayak Canada (CKC) is inviting applications for the role of Finance and Administration Coordinator. CKC is the national body for competitive paddling in Canada. We are a volunteer lead and staff driven organization made up of a community of paddling enthusiasts – athletes, coaches, officials, volunteers, staff and supporters – from coast to coast

About the Role

We are looking for a well organized, detail-oriented, and enthusiastic Finance & Administrative Coordinator to join our team. More than anything, we're looking for a team player—someone who enjoys supporting others, takes pride in their work, and is willing to jump in wherever needed to help the organization succeed. The successful candidate will be responsible for the financial records of the organization including accounts payable and accounts receivable, as well as provide administrative support to ensure the effective operations of CKC.

The successful candidate will work closely with the Finance Manager and CEO and be responsible for the financial records of the organization including accounts payable and accounts receivable, as well as provide administrative support to ensure the effective operations of CKC.

The position will be based out of the CKC office, which is located in OPawa at the RA Centre – 2451 Riverside Dr.

Salary is based on experience and ranges between $48,000 to $52,000/ year along with benefits. This position requires a minimum two days in the office per week.

Core Responsibilities Bookkeeping & Financial Administration
  • Enter vendor invoices and employee expenses into the accounting system for payment processing.
  • Process and record corporate credit card transactions and supporting documentation.
  • Receive and record electronic funds transfers (EFTs) and e-transfers.
  • Prepare and issue customer invoices.
  • Assist with accounts receivable monitoring and collections.
  • Process payroll and maintain payroll records.
  • Prepare electronic payments to vendors and suppliers.
  • Complete monthly bank, credit card, and account reconciliations.
  • Prepare bank deposits and record transactions accurately.
  • Ensure all accounting entries are supported by appropriate documentation and recorded accurately and on time.
  • Maintain organized financial records and filing systems.
  • Assist with month-end and year-end accounting processes.
  • Support management with financial reporting and other accounting-related projects as required.
Administrative Support
  • Provide administrative support to management and staff.
  • Scan, file, and maintain electronic and paper records.
  • Prepare and distribute incoming and outgoing mail.
  • Maintain organized office files and documentation.
  • Assist with inventory tracking and control.
  • Coordinate and support general office operations.
  • Communicate professionally with clients, vendors, and team members.
  • Assist staff with administrative and operational needs.
  • Perform other duties and special projects as assigned.
Qualifications & Experience
  • Diploma or certificate in accounting/finance/business administration.
  • Bookkeeping experience is required such as experience processing accounts payable, accounts receivable, payroll, and bank reconciliations and an understanding of Generally Accepted Accounting Principles. Experience with non-profit accounting is considered an asset.
  • Office administration and coordination in a fast-paced environment.
  • Experience with both accounting software (ideally Quick Books Online) and office software (Microsoft Office, specifically outlook, excel and word).
Skills You Will Bring to the Role
  • Ability to produce financial statements and budget documents
  • Effective written and oral communication, bilingual an asset
  • Strong organizational and time-management skills with an ability to manage multiple priorities
  • Ability to pay attention to detail and accuracy, strong analytical skills
  • A positive attitude and willingness to help whenever needed and work collaboratively within a team environment.
