Compensation Pay Range: $26.43-$32.46
Position SummaryThe Administrative Assistant supports the clinical or provincial program by providing comprehensive administrative services.
Key Responsibilities- Maintain program calendar and schedule meetings, appointments and events.
- Prepare documentation and materials for meetings and appointments.
- Manage scheduling conflicts and coordinate rescheduling.
- Respond to queries from patients, families and stakeholders.
- Support human resources processes for new CHEO and medical staff, including recruitment, hiring, orientation and onboarding.
- Submit required information to support physician billing (if applicable).
- Develop and maintain electronic databases, tracking systems, filing systems, monthly reports and processing mail.
- Assist with program’s academic and research administrative tasks and prepare annual program summary reports.
- Arrange meetings, conference rooms, catering and travel/hotel arrangements for staff and visitors.
- Prioritize and distribute incoming mail and documents; photocopy, collate, fax and distribute.
- Proofread, type, transcribe and format correspondence, reports and spreadsheets.
- Perform financial clerical functions including billing, reconciliation, expense tracking and month‑end reporting.
- Assist in planning special events: booking venues, scheduling speakers, ordering catering, audiovisual equipment and registration.
- Maintain both electronic and paper filing systems.
- Take on special projects assigned by management.
- Demonstrate a willingness to learn and adapt to new processes, databases and technology platforms.
- Criminal record check (essential).
- Diploma in a relevant field (essential).
- Approximately 12 months related experience (essential).
- Knowledge of medical terminology (preferred).
- Clinical terminology proficiency (essential).
- Bilingualism in English and French (essential).
- Sound judgment with the ability to prioritize and adjust.
- Ability to anticipate needs, plan and prioritize work.
- Initiative and ability to work independently with minimal direction.
- Multi‑tasking and completing tasks in a timely fashion.
- Strong organizational skills and attention to detail.
- Discretion and a high degree of confidentiality.
- Professional, concise oral and written communication.
- Comprehensive use of MS Office (Word, Excel, PowerPoint, Outlook).
- Use of voicemail system, photocopier and multi‑use fax machine.
- Union representation may be required (LiUNA).
