ORGANIZATIONAL BACKGROUND

The Mental Health Commission of Canada (the Commission) is a non‑profit organization created to focus national attention on mental health issues and to work to improve the health and social outcomes of people living with mental illness.

The Commission is seen as a leader nationally and internationally in several areas. Building upon the work done to date, the core mandate, and the unique position of the Commission, and guided by Changing Directions, Changing Lives:
The Mental Health Strategy for Canada, the Commission will focus on work in four key areas: substance use, suicide prevention, population‑based initiatives, and engagement. This prioritization will enable the Commission to meet its mandate and have a measurable impact on those living with mental illness, as well as their families and caregivers.

POSITION OVERVIEW

Reporting to the Manager, Digital Mental Health and AI Excellence, the Program Coordinator provides project coordination, administrative, and operational support to strategic initiatives within the Digital Mental Health and AI Excellence portfolio.

The Program Coordinator supports the planning, implementation, monitoring, and dissemination of projects and initiatives to improve access to high‑quality, evidence‑informed, culturally safe, and person‑centered mental health services and supports across Canada.

Working collaboratively with internal teams, external partners, consultants, and people with lived and living experience, the Program Coordinator contributes to project delivery through interest holder engagement, meeting and event coordination, communications, reporting, performance measurement, and administrative support.

DUTIES AND RESPONSIBILITIES Project Coordination & Administration
  • Coordinate project activities, timelines, deliverables, and documentation across multiple initiatives.
  • Support the development and maintenance of project workplans, progress reports, risk logs, and status updates.
  • Maintain project files, records, databases, and document repositories.
  • Assist with tracking project budgets, expenses, invoices, contracts, and procurement activities.
  • Coordinate internal processes including translation, communications, design, and publication requests.
  • Prepare regular project updates and briefing materials for management and project teams.
Interest Holder Engagement & Relationship Management
  • Coordinate outreach and engagement activities with internal and external interest holders, including subject matter experts, consultants, partners, and people with lived and living experience.
  • Maintain interest holder records and contact information using organizational systems and databases (e.g., Salesforce).
  • Support the coordination of advisory committees, working groups, steering committees, and partner meetings.
  • Assist in managing honoraria processes and related documentation for participants with lived and living experience.
  • Coordinate and support virtual and in‑person meetings, workshops, webinars, conferences, and events.
  • Prepare meeting agendas, briefing materials, presentations, meeting summaries, action items, and follow‑up communications.
  • Coordinate meeting logistics including scheduling, registration, technology requirements, catering, travel, and accommodations where required.
  • Support the planning and technical delivery of webinars and virtual events.
  • Assist in the preparation and dissemination of reports, publications, presentations, and knowledge products.
Evaluation & Reporting
  • Support data collection, performance measurement, evaluation activities, and survey administration.
  • Assist in compiling and analyzing project information to support reporting and continuous improvement activities.

Other duties as assigned

SKILLS AND EXPERIENCE
