Position: Event Support Specialist - Temporary 8 months

Under the directions of the Senior Manager, The Event Studio, the Event Support Specialist is accountable for ensuring effective participant engagement, from invitation strategy through to post-event follow-up of both internal and client facing events. These events are highly visible and involve clients, business partners as well as senior-level executives. The ideal candidate is bilingual in English and French, detail-oriented and highly organized with strong communication skills and the ability to collaborate across teams.

This role is available at any MD location in Canada.

Event Invitation & Registration Management
  • Partner with regional teams and event team peers to develop and execute targeted invitation strategies for events
  • Build and manage registration campaigns using marketing automation tools (e.g., Marketo) and internal CRM systems
  • Create and manage participant lists, ensuring data accuracy and proper segmentation
  • Draft and refine invitation copy in both English and French to maximize engagement and attendance
Stakeholder Collaboration
  • Work closely with regional stakeholders to align invitation strategies with business objectives
  • Provide guidance and best practices on event registration processes and tools
  • Act as a key point of contact for registration-related inquiries
Tracking & Reporting
  • Monitor registration trends and attendance metrics, providing regular updates to stakeholders
  • Support post-event reporting, including attendance analysis and lead tracking
  • Collaborate with business development teams to ensure proper follow-up on event-generated leads
Event Logistics Support
  • Assist with on-site or pre-event logistics as needed (e.g., printing name badges, preparing registration materials)
  • Coordinate procurement of client gifts or event materials in line with company guidelines, as required
Key

Skills and Qualifications
  • Bilingual proficiency in English and French (written and verbal)
  • Strong communication and interpersonal skills
  • High attention to detail and strong organizational abilities
  • Experience with CRM systems and marketing automation tools (e.g., Marketo) is an asset
  • Ability to manage multiple projects and deadlines in a fast-paced environment
  • Team-oriented mindset with a proactive and solution-focused approach
  • Degree in Hospitality, Event Management, Event Marketing or related field
  • Solid written communication skills
  • Strong technical proficiency in MS Office 365, Marketo, event management software is an asset
  • Strong client focus, interpersonal skills, and ability to work and problem solve under pressure with multiple timelines and priority clients are a major requirement for success;
    Proven initiative and follow-through
  • Flexibility to work evenings and weekends when required
