Position

Summary

The Dental Assisting Clinic Coordinator is responsible for managing the day-to-day operations, maintenance, and health and safety compliance of the dental clinic and lab facilities. This role combines hands-on clinic coordination with instructional delivery, requiring the candidate to teach both theory and practical skills, evaluate student competencies, and assist in securing student practicum placements.

Working under the direct supervision of the Program Coordinator, the Clinic Coordinator ensures that the clinical environment meets all regulatory guidelines (including IPAC, HARP, WHMIS, and SDS) and is fully prepared to support student learning and CDAC accreditation prep.

Job Responsibilities Clinical Maintenance, Operations & Compliance
  • Manage the day-to-day operations of the dental clinic, including inventory management, ordering supplies, and organizing lab spaces for HARP classes and practical cohorts.
  • Conduct monthly clinical equipment inspections, schedule routine maintenance, and arrange for timely equipment repairs as required.
  • Ensure all clinic operations manuals are current and compliant with all provincial oversight bodies and IPAC guidelines.
  • Monitor daily sterilization procedures and maintain strict compliance with IPAC, Clinical, WHMIS, and SDS protocols.
  • Coordinate, schedule, and arrange on-site dentists and hygienists for student clinical evaluations.
  • Serve as an employee member of the Joint Health and Safety Committee (JHSC), run mock health and safety drills, and ensure the clinic remains a safe, compliant learning environment.
Instructional Delivery & Student Support
  • Deliver dental assisting program curriculum to students across both theoretical (online/in-person) and practical settings.
  • Provide active clinical group instruction, teaching essential clinical, lab, and radiography skills while giving continuous feedback and evaluating performance.
  • Support, tutor, and mentor students through their academic journey, providing extra academic and hands-on assistance as needed.
  • Facilitate HARP continuing education courses, run HARP orientations, participate in program orientations, and ensure all clinical materials are prepared for instructors.
  • Record student attendance and grades accurately using internal learning management systems (Nova/Moodle).
Program Coordination & Practicum Support
  • Collaborate closely with the Program Coordinator to secure high-quality practicum placements for dental assisting students.
  • Conduct clinical practicum site visits and follow-up communication to support students and evaluate host dental offices.
  • Mentor and support clinical instructors, help onboard new faculty, and participate in program meetings, professional development days, and college events.
  • Maintain organized and up-to-date departmental files, student records, and compliance documentation.
Qualifications & Requirements Required
  • Certification: Certified Level II Dental Assistant with a valid NDAEB certificate (or equivalent credential qualifying for clinical coordination and instruction).
