Position

Description:

Must have or be eligible to be granted a security clearance upon hire

Work location:

Ottawa-onsite

Your future duties and responsibilities:

• Coordinate communication between the project team, client, and subcontractors.

• Support project financials, including billing, invoicing, WIP resolution, and accounts receivable tracking.

• Ensure timesheet compliance by collecting approved client timesheets.

• Provide administrative support to project management and share status updates as needed.

• Maintain project documentation, records, contracts, reports, and KPI data; investigate any discrepancies.

• Manage change requests and update project information across shared files and tools.

• Organize project status meetings and prepare monthly project summaries.

• Process client contracts, task authorizations, POs, SOWs, and amendments.

• Prepare subcontractor agreements, coordinate payments, and resolve related issues.

• Address vendor invoice exceptions and assist in resolving discrepancies.

Required qualifications to be successful in this role:

• Skilled in managing client billing processes

• Proven ability to support project accounting and forecasting

• Proficient in handling accounts receivable functions

• Adept at budgeting and providing full financial project management support

• Demonstrated strength in opportunity management and business engineering support

• Strong track record in coordinating project teams and overseeing administrative activities

• Highly proficient in the Microsoft Office Suite, primarily Excel

• Excellent analytical, problem solving, organizational, and time management skills

• Strong verbal, written, and interpersonal skills

• Able to prioritize, work under pressure and meet deadlines

• Works well independently and within a team environment

• A completed college diploma or university degree.

Assets

• A degree or diploma in accounting or other financial related degree

• Previous RFP/proposal development experience - estimating financial

• Bilingual (French and English)
