We are looking for a highly organized and proactive Marketing Coordinator to help keep our marketing team running smoothly while supporting a wide variety of marketing initiatives.

This role is much more than administration. You will be an integral part of the Marketing Operations team, supporting campaign execution, coordinating vendors, managing budgets, and contributing to projects across the department. No two days will be the same — you will work closely with every marketing function while gaining exposure to strategy, creative, digital marketing, property marketing, and operations.

Key Responsibilities
  • Support the Marketing Operations team with planning, coordination, and execution of various marketing initiatives while managing multiple priorities effectively.
  • Coordinate purchase orders, invoices, vendor payments, and financial documentation.
  • Track marketing budgets in Excel and maintain accurate spend reporting with strong attention to detail.
  • Support monthly reconciliation, expense management, budget updates, and budget tracking.
  • Coordinate vendor onboarding, contracts, and administrative documentation.
  • Provide operational support for campaigns, projects, special marketing initiatives, and cross‑functional logistics.
  • Assist with event planning, catering coordination, logistics, and execution of marketing activities.
  • Identify opportunities to improve processes, organization, and operational efficiency across the department.
  • Maintain organized marketing files, campaign records, vendor details, budget trackers, approvals, and shared team resources.
  • Support project intake, timelines, meeting coordination, status updates, and follow‑ups to help ensure marketing deliverables move forward on schedule.
  • Partner with internal stakeholders and external vendors to gather information, confirm details, resolve administrative questions, and support smooth project execution.
  • Prepare basic reports, summaries, and trackers that provide visibility into budgets, project status, vendor activity, events, and operational priorities.
  • Support procurement and invoice workflows in alignment with internal policies, approval processes, and documentation standards.
  • Help coordinate marketing materials, promotional items, print orders, shipping, inventory, and distribution to properties or internal teams as required.

What You Bring
  • 1‑3 years of experience in administration, project coordination, marketing coordination, or operations.
  • Post‑secondary education in marketing, business administration, communications, finance, operations, or a related field is an asset.
  • Experience managing budgets, purchase orders, invoices, or financial tracking.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Strong organizational skills with exceptional attention to detail.
  • Strong communication and relationship‑building skills.
  • A proactive, collaborative mindset with a willingness to jump in and support wherever needed.
  • Comfortable working with spreadsheets, trackers, budgets, invoices, purchase orders, and administrative workflows.
