About the Role

The Administrative Assistant in the Specialty Services department will assist in ensuring smooth departmental workflow through client onboarding, document processing, and internal coordination.

What You’ll Do
  • Provide administrative support to ensure efficient operation of the department.
  • Onboard new clients and input new clients and projects into operating systems.
  • Check the mail system periodically for new assessments notices, tax bills, return forms, and other property tax correspondence that will be processed into the property tax system.
  • Prepare and email letters of authorization to clients; process signed letters into property tax software.
  • Collect and process assessment notices, tax bills, and other correspondence from clients.
  • Request property record cards and appeal deadlines from county and/or state assessment departments.
  • Issue checks for filing fees, record cards and other related expenses.
  • Use computer word processing, spreadsheets and property tax software to produce and distribute correspondence memos, letters, reports, forms and other documents.
  • Prepare and track client engagement letters, proofread, edit client letters, perform mail merges and ensure formatting complies with firm standards.
  • Create presentations in PowerPoint for various projects and internal purposes.
  • Arrange travel (booking flights, rental cars, hotels; provide detailed itineraries; confirm client/prospect meetings; process and invoice expenses).
  • Maintain partner calendars; proactively assist in meeting preparation and scheduling.
  • Order catering and schedule team events.
  • Attend quarterly administrative department meetings; discuss upcoming projects and procedures.
  • Assist with accounts receivable issues and prepare supporting documentation.
  • Organize and facilitate weekly or monthly departmental meetings.
  • Proactively identify opportunities to support the department.
About You
  • Associate of Arts degree in secretarial science or related field with at least two years of administrative/secretarial experience; or high school/GED with four years of clerical/secretarial experience.
  • Experience supporting multiple department heads preferred.
  • Proficient in Microsoft Word, Excel, Outlook and PowerPoint; knowledge of standard office equipment.
  • Mastery of spelling and grammar.
  • Integrity and the ability to maintain confidentiality.
  • Proactive and able to anticipate needs.
  • Eager to learn.
  • Strong self‑starter comfortable working independently and as part of a team.
  • Ability to prioritize and meet deadlines under high workload.
  • Clear, concise writing and verbal communication skills.
  • Excellent organization, attention to detail, flexibility, and analytical skills.
  • Strong customer service orientation and professional appearance.
  • Ability to interact and communicate with individuals at all levels and personalities.
