Admin Assistant – Overland Park, KS

This role is for a seasoned administrative professional who supports a dynamic team at one of the largest mutual life insurance companies in the US. It offers a rewarding opportunity in the Financial Services Industry.

Position Overview
  • A seasoned administrative professional providing both strategic insight and hands‑on execution as a key partner in daily operations and departmental initiatives, including high‑impact event planning.
  • Maintains strong relationships across all organizational levels, especially with senior leadership, while fostering a professional and welcoming work environment.
Responsibilities
  • Front Desk & Visitor Experience – Welcome and host guests, vendors, clients, and visitors, creating a warm and professional first impression.
  • Telephone & Communication Support – Manage incoming calls and messages, ensuring efficient routing and issue resolution; maintain and update call rotation settings and troubleshoot Jabber‑related queries.
  • Administrative Coordination – Support team and leadership calendars; organize meetings, travel arrangements, and conference calls, including IT support, room set‑up, catering, and off‑site coordination; oversee daily office supply management; manage smaller‑scale team projects.
  • Expense & Invoice Management – Prepare and reconcile travel and business expenses; process invoices and expense reports with accuracy and timeliness.
  • Adaptability & Ad‑Hoc Support – Tackle a variety of administrative tasks that shift with business needs, including approvals and reporting.
  • Relationship & Vendor Management – Manage vendor relationships and oversee office services maintenance, including conferencing equipment and permit posting.
  • Meeting & Materials Preparation – Plan and support logistics, agendas, and resources for team and leadership meetings; draft presentations, memos, and internal communications tailored to various audiences.
Required Qualifications
  • Minimum 3–5 years of experience in a relevant role in an office/admin setting or the financial services industry; first preference for those with prior financial services experience.
  • Minimum 2–5 years of administrative support experience in a corporate setting.
  • Comfortable working with AI to streamline processes.
  • Outstanding organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication with polished interpersonal finesse.
  • Ability to prioritize effectively and manage multiple tasks with urgency.
  • Sound judgment, discretion, and professionalism in sensitive situations.
  • Proven experience managing administrative projects and tasks independently.
  • Proficiency with Microsoft Office Suite:
    Word (polished communications and reporting), PowerPoint (professional presentation creation), Excel (spreadsheets, data and expense tracking, event planning), foundational data formatting and analysis experience.
