Merton College – a vibrant and diverse intellectual community that has been at the forefront of education and research at the University of Oxford since 1264 – is looking for a highly organised and proactive Estates Administrator to support the management of their extensive and diverse property portfolio.
Key Responsibilities- Generating Land Agents' diary reports of impending lease and rent notices, lease expiries, rent reviews and statutory records and actioning as required.
- Issuing appropriate statutory notices for agricultural rent reviews and completing paperwork for fair rent reviews.
- Corresponding with residential tenants regarding extending tenancies and rent increases.
- Working with external contractors to maintain property compliance records, including gas safety checks, EICRs, boiler servicing, chimney sweeping, asbestos, fire safety, energy performance certificates, and selective licensing.
- Supporting the Land Agent and Land Agent’s PA in managing maintenance and repairs, including handling calls, emails and instructing contractors.
- Assisting the Land Agent with the annual desktop valuations of College land and property and maintaining accurate valuation records.
- Supporting land and property lettings, including updating internal records and liaising with utility providers, council tax and business rate authorities.
- Assisting with projects such as the registration of College properties with HM Land Registry.
- Maintaining accurate manual and digital records detailing land and properties owned by the College.
- Providing general assistance to the Land Agent in managing the College’s property assets.
- Strong written and verbal communication skills; proven ability to prepare professional documents.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Strong numerical skills, including the ability to accurately apply percentage increases to rents or valuations.
- Proven experience in accurately maintaining records and record management databases.
- Excellent organisational and time-management skills, with the ability to multitask and prioritise effectively.
- Ability to work independently and proactively with minimal supervision.
- Professional and approachable telephone manner, responding with professionalism and courtesy.
- Proven experience in a professional setting; discretion and trustworthiness in handling sensitive information.
- Membership of the University of Oxford Staff Pension Scheme (OSPS).
