Job PurposeTo provide a comprehensive administrative and secretarial support function to the Mental Health Division Senior Management Team.
Responsibilities- Monitoring shared mailbox.
- Opening, sorting, and distributing internal and external correspondence.
- Arranging meetings for members of the team, including liaising with internal and external professionals, booking rooms, and ordering hospitality requirements.
- Diary management and ensuring that the Quality team is supported in scheduling their diaries.
- Briefing leads for all meetings and ensuring necessary documentation is available.
- Taking minutes of meetings where necessary.
- Assisting in liaising with relevant people in the preparation of agendas and supporting papers for meetings.
- Drafting and producing professional correspondence quickly and accurately.
- Maintaining up‑to‑date filing systems and databases.
- Prioritising and arranging workloads based on requirements.
- Supporting accurate record keeping for turnaround documents, annual leave records, training records, and expense forms.
- Assisting in data or information collation, interpretation, and analysis.
- Adopting quality systems/measures to ensure work and correspondence is accurate and error‑free.
Will require evidence of a vocational level 3 qualification or at least two years of relevant experience.
Learning and Development- Organised individual with experience working in a complex environment.
- Competence with Microsoft Office programmes.
- Audit management (desirable).
- NHS experience (desirable).
- Good general computer literacy.
