LMH seeks to appoint a full time, 3-year fixed term, Access and Outreach Assistant to support the administration of the College’s rich and varied schools outreach programme including our new sustained contact programme.

We are looking for a highly organised individual with strong skills in administration and communication.

Access and Outreach activity is a strategically important area of the College’s work. The aim of LMH’s outreach activity is to ensure that talented students – especially from groups that are currently under‑represented within the College and University community – are identified, inspired and supported to make successful applications to study at Oxford, in particular  delivers a range of outreach and access activities including in‑person events with students, schools and colleges.

A new sustained contact programme, The Wayfinder Programme, will be launched this coming year.

The Access and Outreach Assistant will be based in the College’s Academic Office. The Outreach team is led by the Head of Access and Admissions Support and currently also consists of an Outreach Programme Manager and an Access and Outreach Officer. The post-holder will be supporting the administration and organisation of our schools outreach and widening access initiatives. This will primarily include administrative support for The Wayfinder Programme, but will also include administrative support for other events including school visits, five large Subject Taster Days, the College’s large open days, an offer holder welcome day, and general communication with schools and prospective applicants.

This role would be suited to individuals in the process of building experience in Access and Outreach, including recent graduates, but also to any individuals who are looking to build a career in administration.

Reporting to:
Head of Access and Admissions Support

Liaison with:
Access and Outreach Officer, Outreach Programme Manager, Senior Tutor, Academic Staff, Academic Office, Development Office, Communications Office, Student Ambassadors and the student body.

Main Tasks

The main duties of the post are as follows:

The Wayfinder Programme
  • Supporting the administration and organisation of the College’s Sustained Contact Programme for Key Stage 4 students, including moderation of posts on the mentoring platform, monitoring and encouraging user engagement, answering mentor questions and keeping records;
  • Producing or formatting resources such as information packs, academic resources, timetables, programme advertisement using Canva;
Other event organisation and administration
  • Supporting administration and logistics of on‑site school visits, subject taster days, open days, and other events, for example, by monitoring and processing event applications, and booking rooms and catering;
  • Supporting the administration and organisation of outbound school visits, for example, by booking travel and accommodation;
  • Providing administrative support for the recruitment and coordination of casual outreach staff (e.g. including student ambassadors/helpers and mentors), including: processing applications, timetabling interviews and training sessions, responding to email enquiries, administration of payments in liaison with the accounts team;
Communication
  • General management of the joint Outreach email inbox, including triaging of requests and responding to enquiries;
  • Liaising with schools and event attendees;
  • Liaising with other teams in the College and across the University involved in event organisation and delivery;
  • Maintaining a list of school contacts for advertising College outreach activities;
General office administration
  • Purchasing travel tickets and arranging reimbursement for programme participants, student ambassadors and team members;
  • Financial record keeping;
  • Purchasing and monitoring stock of merchandise and other team supplies;
