What you’ll be responsible for:
To provide comprehensive high-quality administrative and data management support to allow the safeguarding service to work efficiently. This is a demanding role requiring high levels of administrative skills, good communication skills and the ability to work as part of a team. The role will support the administrative and data management function of the safeguarding service to ensure that Oxford Health NHS Foundation Trust meets its statutory responsibilities to safeguard children and young people and complies with CQC Regulation 13 ‘Safeguarding service users from abuse and improper treatment.’
This role requires excellent organisational, communication and IT skills and the ability to work effectively within a multi-agency safeguarding environment.
DUTIES AND RESPONSIBILITIES
* Co-ordinate office activities and ensure there are effective administrative systems and procedures in place.maintain an efficient office.
* To be responsible for prioritising workload, ensuring deadlines are met in agreement with service members.
* Contribute to continuous improvement of administrative systems and processes.ensure a friendly and welcoming point of contact to the service, giving prompt attention to requests, directing, enquiring and signposting as appropriate.liaise and communicate with a range of health professionals and partner agencies.
* Manage incoming communications (emails, telephone calls, post[LL2.1], Teams messages), prioritising urgent safeguarding matters appropriately.
* Communicate complex or sensitive information appropriately and with discretion.
* To observe the highest degree of confidentiality at all times and to comply with trust policies when communicating or distributing information
* To manage, develop and maintain databases, spreadsheets and information systems to be able to produce quality reports and documentation to support the work of the service utilising appropriate programmes
* Provide administrative support within the Multi-Agency Safeguarding Hub (MASH)
* Undertake key MASH administrative tasks as required including:
* Supporting data collection and information sharing processes within MASH systems and processes while maintaining confidentiality and accuracy.
* Managing MASH communication channels (emails, calls, referrals)
* Updating and maintaining relevant systems and records
* Supporting meetings and coordination activities within the MASH environmen
* Work from alternative bases when required when providing MASH cover.
* Work within multi-agency and co-located arrangements
* To arrange meetings by scheduling appropriate meeting times, booking rooms, preparing agendas, produce minutes and action logs and ensure follow up actions are completed.
* Organise events, workshops, conferences and training sessions.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
