- Support the Operations Manager and Operations Coordinator
- Provide general administrative support, including meeting scheduling, note taking, action tracking, and resource preparation
- Support different functional areas during peak periods according to programme priorities
- Identify and implement improvements to administration, processes, and operations
- Maximise the use of technology and software
- Track projects and maintain timelines, tasks, and deadlines
- Communicate project updates to relevant stakeholders
- Collaborate with the team and third parties to administer, test, and improve systems
- Maintain the CRM database and keep key data up to date
- Conduct research and collect data and feedback for continuous improvement
- Create, review, and maintain team guides, best-practice guidance, and workflow documentation
- Support recruitment, onboarding, and training for volunteers and temporary workers
- Support planning and logistics for meetings and events
- Proven administration experience in a busy team, delivering high-volume output to deadlines
- Ability to balance multiple projects in a fast-paced environment and stay on top of deadlines and deliverables
- Excellent attention to detail
- Experience using databases and accurately checking and entering data
- Technical proficiency, confidence learning new systems, and excellent MS Office skills
- Strong verbal and written communication and interpersonal skills
- Sensitivity, discretion, and understanding of legal requirements when handling personal information and data
- Experience working in a start-up environment (desirable)
- Experience supporting or administering Salesforce (desirable)
- Experience using Asana and Jira (desirable)
- Experience supporting software testing, including UAT, by following user stories and test scripts (desirable)
- Right to work permanently in the UK for the duration of the fixed-term contract
- Live in or within easy commuting distance of Oxford, or be willing to relocate
- Enhanced DBS check required; employer will apply on the candidate's behalf
Demonstrates strong administrative capabilities with a focus on project tracking, data management, and process improvement. Proficient in utilizing technology and software to enhance operational efficiency and support team collaboration.
