A place where centuries of tradition meet world-changing innovation, we offer you the chance to shape the future while working in an inspiring environment that promotes excellence. Here, you’ll contribute to an organisation which delivers ground-breaking research that tackles global challenges - from advancing sustainability to pioneering healthcare solutions - and join a diverse, inclusive community that champions your wellbeing, development, and aspirations.
The Undergraduate Admissions and Outreach Department at Oxford University invites applications for the post of Admissions Operations Coordinator. This key role is in a team of five, within about 50 staff across Undergraduate Admissions & Outreach.
What We OfferWorking at the University of Oxford offers several exclusive benefits, such as:
- 38 days of annual leave (inclusive of public holidays) to support your wellbeing, with the option to purchase up to 10 extra days and additional leave after long service.
- One of the most generous family leave schemes in UK higher education, offering up to 26 weeks of full-pay maternity and adoption leave, plus 12 weeks of full-pay paternity/partner leave.
- A commitment to hybrid and flexible working to suit your lifestyle.
- Affordable and sustainable commuting options, including a cycle loan scheme, discounted bus travel, and season ticket loans.
- Access to a vibrant community through our social, cultural, and sports clubs.
The role is a pivotal system and data-based role in the context of the operational process of undergraduate admissions. Oxford uses two main systems for undergraduate applications:
Tribal SITS/eVision (used extensively across the sector) and an in-house database built on the Microsoft Dynamics platform called ADSS (Admissions Decisions Support System). ADSS is used mainly for academic staff to select which applicants are made offers during the Autumn term (October-December), and SITS/eVision is used for communicating decisions back to UCAS, as well as post-offer and confirmation stages, and as the core University student records system.
Working closely with the Head of Admissions Operations and other members of the team, the Admissions Operations Coordinator will have a pivotal role in ensuring the accuracy and reliability of applications data in systems shared internally across colleges and departments and externally with UCAS. The team also supports several bespoke application processes for particular categories of applicants, and liaises with individual stakeholders and senior committees to improve operations and policy for undergraduate admissions.
The post-holder will also contribute more generally to the work of the Admissions Operations team, including day-to-day management of user queries ranging from frequently asked questions to more complex technical issues, and shared responsibility in the Admissions Operations team for the use of SITS/eVision in undergraduate admissions. Our other main responsibilities include sector-wide liaison with UCAS and other universities, leading internal meetings updating colleges and departments on key issues in admissions, and a series of projects such as admissions tests, statics, and maintaining the online Admissions Handbook.
The work of the Admissions Operations team is often technical in nature, and requires both advanced data manipulation skills and the ability to solve problems relating to data and systems.
The closing date for applications is 12 noon on Wednesday 11 November
Interviews will take place on Monday 23 November and will be held face-to-face.
