EU & APAC Senior Logistics Coordinator

This role establishes and operates ONI’s EU warehousing and international logistics capability and acts as the primary logistics interface between Commercial teams, distributors, and Operations across EU and APAC. You will own end-to-end order-to-delivery logistics, including shipping method selection, customs clearance, Incoterms, dangerous goods compliance, and 3PL management, ensuring hardware, spares, and consumables move internationally in a compliant, predictable, and cost-effective manner.

The role combines strategic process design with hands‑on execution and serves as a logistics subject‑matter expert.

• EU Warehouse & 3PL Management
• Identify, onboard, and manage EU warehouse/3PL partners.
• Define inbound/outbound handling flows and storage requirements.
• Resolve discrepancies, damages, and escalations.
• Ensure proper storage for fragile and temperature-sensitive equipment.

• Manage international shipments end-to-end, including transport selection, documentation, and execution under correct Incoterms.
• Coordinate with freight forwarders, customs brokers, and internal teams to ensure smooth clearance, resolve delays, and ensure compliance with import/export regulations, including EU import VAT.
• Ensure shipments comply with dangerous goods and cold-chain requirements, providing guidance on shipping restrictions and packaging.
• Prepare, pack, and palletise shipments when required, and maintain packaging material inventory.
• Prepare and review and execute documentation including commercial invoices, packing lists, and HS classification and ATA Carnets.
• Manage EU import VAT handling including use of Postponed VAT Accounting (PVA) in coordination with finance and customs brokers.

• Act as the logistics point of contact for distributors and commercial teams.
• Coordinate shipments for installations, demo units, RMAs, spares, and consumables.
• Track orders from release to delivery, identify logistics risks, and implement mitigation actions.
• Maintain SOPs, shipping guides, and distributor playbooks.

• Train internal teams (Sales, Service, Operations, Finance) and distributors on shipping processes and responsibilities.
• Translate technical logistics and customs requirements into clear, easy-to-follow guidance.

• 7–10+ years’ experience in international logistics, freight forwarding, or distribution operations.
• Hands‑on experience shipping hardware or technical equipment internationally.
• Strong understanding of customs clearance processes and shipping documentation.
• Knowledge of Incoterms (DAP, DDP, FCA, EXW).
• Experience coordinating with freight forwarders, couriers, and customs brokers.
• Familiarity with dangerous goods and/or temperature-controlled shipments.
• Experience managing warehouse or 3PL operations.
• Ability to independently resolve shipping delays and clearance issues.
• High attention to detail in compliance and documentation.
• Proficient in ERP shipment processing and tracking tools.
• Experience supporting distributors in APAC or EMEA regions.
