Events and Functions Coordinator

Our client is seeking a highly organised and creative Events and Functions Coordinator to manage a variety of events and functions at their venue in Paarl . This role is integral to delivering memorable experiences for clients, from initial planning and negotiation through to execution and post-event evaluation. You will work closely with clients, suppliers, and internal teams to ensure seamless event delivery, catering to diverse needs including corporate events, weddings, and private functions.

The ideal candidate possesses exceptional attention to detail, strong negotiation skills, and a passion for creating successful and unique events.

• Consult with clients to understand their event requirements, budget, and vision.
• Develop detailed event plans, including timelines, venue layouts, and staffing schedules.
• Coordinate with vendors and suppliers (catering, AV, entertainment, decor) to ensure seamless service delivery.
• Manage event budgets, track expenses, and ensure profitability.
• Oversee event setup, execution, and breakdown, acting as the main point of contact on the day.
• Conduct post-event follow-ups and gather client feedback for continuous improvement.

• Proven experience (2-4 years) as an Events Coordinator, Functions Manager, or similar role.
• Excellent organisational skills and meticulous attention to detail.
• Strong negotiation and supplier management capabilities.
• Outstanding communication and interpersonal skills, with the ability to build rapport with clients.
• Proficiency in event planning software and Microsoft Office Suite.
• A creative flair and ability to think innovatively to meet client needs.
