The postholder will complete training and induction at our Sandyford Central base. The post forms part of the business support team and provides administrative and secretarial service to the multi‑disciplinary team as required. The postholder is expected to work across more than one site. Within Sexual Health Services you will provide an admin and secretarial service to the multi‑disciplinary team. The post involves reception duties, dealing with enquiries through our Telephony system, data input, record management, reception and mail duties.
With a flexible approach, you should possess excellent verbal and written communication skills, be able to prioritise workloads, accurately input clinical and non‑clinical data and be an effective team player. The post‑holder will also support the generic functions and duties administered within the wider administration and business support section as required over the city.
Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.
Duration, Location and Working Pattern- Location based in Sandyford Central
- Permanent contract
- Full‑time position (36 hours per week)
- Shift pattern:
Monday 08:00‑17:00, Tuesday‑Thursday 08:00‑20:00, Friday 08:00‑17:00
- Welcome and assist patients, visitors and service users in a professional, empathetic and non‑judgmental manner.
- Deliver a high standard of customer service while always maintaining confidentiality and professionalism.
- Manage high volumes of telephone calls and enquiries efficiently, ensuring patients receive timely, accurate and sensitive support.
- Operate busy contact centre, including booking, rescheduling and cancelling appointments across multiple services.
- Respond appropriately to face‑to‑face, telephone and email enquiries in line with departmental procedures and escalation processes.
- Accurately input, update and maintain patient records using NaSH, CHI and other NHS systems.
- Coordinate interpreter bookings, patient transport and courier requests where required.
- Support clinic flow by managing waiting area, urgent triage appointments and time‑sensitive administrative tasks.
- Produce, scan and process clinical documentation and correspondence to a consistently high standard.
- Maintain electronic filing systems and shared databases using Microsoft Office 365 and SharePoint.
- Assist with the preparation of paperwork, specimen bottles and clinic materials.
- Sort and distribute internal and external mail and deliveries as appropriate.
- Excellent organisational, communication and interpersonal skills.
- Experience managing high call volumes and prioritising competing demands effectively.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively as part of a multidisciplinary team.
- Excellent attention to detail and accuracy.
- Experience using Microsoft Office 365 and electronic patient management systems.
- Ability to manage sensitive and confidential information professionally and discreetly.
- Previous experience within an NHS, healthcare, public sector or busy customer service environment is desirable.
- Previous switchboard or reception experience is desirable.
- Experience of data input and record management is desirable.
- Ability to work in a non‑judgmental and patient‑centred manner.
