- The Clerk – Central Scheduling is responsible for coordinating and scheduling patient appointments across multiple departments or service lines. This role ensures accurate, efficient scheduling while providing excellent customer service to patients, physicians, and internal staff. The position also verifies patient demographic and insurance information and contributes to streamlined access to care and patient flow.
- Schedules outpatient and ancillary appointments accurately based on physician orders and protocols
- Confirms and verifies patient demographic and insurance information prior to scheduling
- Provides patients with appointment details, instructions, and preparation requirements
- Responds to phone calls in a courteous, professional manner and resolves inquiries effectively
- Coordinates schedules with multiple departments to ensure optimal access and efficiency
- Explains billing and pre-authorization processes and collects co-payments when applicable
- Maintains accurate documentation and communicates appointment-related issues to appropriate staff
- Applies patient privacy, infection control, and customer service standards at all times
- Performs general clerical tasks including faxing, scanning, data entry, and recordkeeping
- Supports new employee training and assists with workflow improvements
- Participates in performance improvement and compliance initiatives
- Proficient in EMR and scheduling systems
- Excellent organizational, time management, and communication skills
- Strong attention to detail and ability to multitask
- Customer service-oriented with a professional and calm demeanor
- Demonstrates problem-solving skills and independent judgment
- Familiarity with medical terminology and insurance guidelines is a plus
- Able to handle sensitive information with confidentiality and accuracy
- Must be dependable, flexible, and able to work in a fast-paced team environment
- High school diploma or GED preferred
- None required
- Minimum one (1) year of experience in a hospital or clinic office setting preferred
- Experience with scheduling software or electronic medical records (EMR) preferred
