Office Manager
Build and maintain a successful practice through communication, management of goals, and setting expectations for the team. Provide accountability, support, and guidance to enhance team performance. May float between offices to provide coverage and manage offices not fully staffed.
Responsibilities- Hire, train, and manage performance of office team members.
- Serve as the expert in basic job knowledge such as filing claims, cash management, software, verification, and linkage.
- Explain treatment plans and payment options to patients.
- Review and train on Accounts Receivable collection percentages.
- Ensure daily deposits are completed accurately and maintain control of petty cash.
- Maintain office security and hold key responsibilities.
- Travel between offices as required to provide coverage.
- Review patient financing/credit volume and accuracy with team.
- Train team on customer service skills via phone and in person.
- Hold team accountable for building a productive office schedule.
- Meet and manage minimum monthly performance goals set by Regional Management.
- Communicate effectively between front and back office, including email, newsletters, policy updates, and training materials.
- Handle general dentistry and specialty patient complaints timely and professionally.
- Arrange or provide training as needed.
- Ensure timeliness and accuracy of paperwork.
- Review and approve payroll accuracy and control overtime.
- Oversee supplies and inventory for cost effectiveness.
- Retain staff and patients (monitor turnover).
- Ensure safety compliance: workers’ compensation reporting, OSHA Bloodborne Pathogen training, accurate MSDS sheets, radiation badge tracking.
- Complete Monthly Check List and ensure all areas are up to date.
- Act as liaison between corporate and office staff on procedures and postings.
- Perform additional duties as assigned.
- Maintain a positive, team-oriented attitude.
- Present a professional and neat appearance meeting company standards.
- Show knowledge of insurance processes.
- Demonstrate professionalism and leadership.
- Associate’s degree in business or equivalent and at least three years of relevant experience.
- Working knowledge of front and back-office healthcare operations.
- Effective communication and time management skills.
- Prior management experience strongly preferred.
- Understanding of general dental terminology.
- Intermediate computer skills; proficiency with Internet Explorer, Microsoft Office Word, Excel, and dental office software. Experience with Eagle Soft preferred.
