Position Summary:
The Administrative Medical Assistant is a key member of the provider’s care team, responsible for delivering a high level of support in both clinical and administrative functions. This hybrid role includes assisting the physician in clinic when needed, while also managing scheduling, communication, documentation, and coordination tasks to ensure an efficient and patient-centered experience.
Qualifications:- High school diploma or equivalent required.
- Completion of a Medical Assisting program or current Medical Assistant Certification required.
- Prior experience as an administrative assistant in a medical setting strongly preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required.
- Experience with EMR systems, Athena preferred.
- Strong organizational, communication, and multitasking skills.
Administrative Support:
- Manage physician’s schedule including clinic appointments, meetings, legal conferences, and travel arrangements.
- Answer incoming calls, triage messages, and document appropriately in Athena.
- Serve as a liaison between physician, patients, hospitals, attorneys, and internal departments.
- Open, distribute, and manage physician’s mail and correspondence.
- Draft and prepare patient letters, school/work excuses, and other documents as needed.
- Maintain physician’s files, calendars, and internal records.
- Schedule patient appointments in Radix and surgical cases in Incisions.
- Coordinate pre- and post-operative appointments, including medical clearances, labs, and paperwork.
- Ensure all surgical documents are completed and follow up on outstanding items.
- Track and enter physician billing information when applicable.
- Greet, room, and assist patients during clinic as needed.
- Provide compassionate, efficient care and follow-through based on physician direction.
- Assist with form completion (e.g., disability, FMLA) and patient communication.
- Facilitate cross‑department coordination for patient needs.
- Manage provider and personal Athena inboxes to ensure timely response to cases.
- Support provider during clinic sessions when requested.
- Maintain confidentiality and compliance with HIPAA regulations.
- Participate in clinic initiatives, meetings, and training as needed.
- Ability to travel between various clinic locations.
- Perform other tasks and responsibilities as assigned to support the overall function of the clinic.
