DescriptionPosition Overview
Brabo is seeking a highly organized, detail-oriented Payroll Implementation Specialist to lead new payroll clients through the implementation process from the point of sale through their successful transition to our ongoing service team.
This position serves as the critical bridge between Sales, Paylocity, the client, and Brabo’s Payroll & HRIS service team
. The Implementation Specialist is responsible for keeping each implementation moving forward, gathering and validating required information, coordinating system setup, identifying discrepancies before payroll goes live, educating clients on their new platform, and ensuring the account is fully prepared before being transitioned to ongoing service.
The ideal candidate is comfortable managing multiple implementations at different stages, enjoys working directly with clients, has strong attention to detail, and understands that a successful implementation requires both technical accuracy and strong communication.
- Take ownership of new payroll implementations following the completion of the sales process
- Review sales orders, implementation documentation, and client requirements for completeness and accuracy
- Conduct new-client welcome calls and establish implementation timelines, expectations, responsibilities, and next steps
- Serve as the primary Brabo point of contact throughout the implementation process
- Coordinate implementation activity between the client, Brabo Sales, Paylocity implementation representatives, and Brabo’s internal service teams
- Track outstanding items, follow up with clients and partners, and proactively address issues that could delay implementation
- Maintain accurate implementation documentation, notes, status updates, and internal records
- Ensure all required implementation steps are completed before releasing an account to the ongoing service team
- Review federal, state, and local payroll tax information for accuracy and completeness
- Validate federal EIN information, filing frequency, state withholding accounts, unemployment accounts and rates, and applicable paid family and medical leave accounts
- Identify missing registrations or tax information and coordinate necessary follow-up
- Review employee demographic and payroll information, including Social Security numbers, addresses, dates of hire, compensation, tax status, direct deposit information, deductions, and garnishments
- Review payroll schedules, pay frequencies, check dates, processing cycles, and funding requirements
- Review earning and deduction code setup, including pre-tax and post-tax treatment
- Coordinate setup requirements for multi-state employers and employees
- Review applicable PTO and sick-time policies and coordinate configuration within Paylocity
- Identify special payroll considerations including tipped employees, multiple rates or jobs, retirement plans, workers' compensation, and other client-specific requirements
- Work directly with Paylocity implementation representatives to ensure client accounts are configured according to the information provided
- Review system configuration against client requirements and submitted documentation
- Validate employee data and system setup before the first live payroll
- Conduct detailed mock payroll reviews to identify discrepancies before go-live
- Validate items such as employee taxes, compensation, direct deposit, deductions, retirement contributions and employer matches, salary auto-pay, and other payroll calculations
- Escalate discrepancies and coordinate corrections with Paylocity, the client, and internal Brabo resources
- Confirm required administrative access, reporting, delivery preferences, banking information, and client settings are established correctly
- Maintain detailed payroll process documentation and relevant client notes for the ongoing service team
- Guide clients through their initial Paylocity login and system orientation
- Train clients on employee profiles, payroll processing, payroll reports, and other core system functions
- Coordinate and support the client's first live payroll
- Review the first payroll for accuracy and address outstanding questions or configuration issues
