DB is seeking an Executive Assistant in Palo Alto, CA, to support the CISO and two Security VPs. This role involves managing calendars, booking travel, and handling expenses, requiring strong prioritization and relationship‑building skills. - Manage executive calendars and accommodate last‑minute requests.
- Research, book, and amend travel arrangements.
- Track and submit expenses.
- Organize team dinners and events.
- Plan on‑sites and off‑sites (domestic and international).
- Maintain distribution lists and track action items.
- Manage multiple time zones due to executive travel.
- Prioritize requests with minimal guidance.
- Collaborate with R&D/Security team members on initiatives and events.
- Attend meetings, take notes, and distribute action items.
- Partner with internal communications for speaking engagements.
- Maintain confidentiality of sensitive information.
- Assist with new‑hire onboarding.
- Travel occasionally when needed.
- Ensure attention to detail and professionalism in all communications.
- 5+ years of administrative or executive support experience (tech preferred).
- Bachelor's degree or equivalent experience preferred.
- Highly organized and detail‑oriented.
- Exceptional communication skills.
- Proficiency with Google Apps, Concur, and Zoom preferred.
- Creative, flexible, and innovative team player.
- Experience with vendor sourcing, off‑site planning, and special projects.
- Open to feedback and growth opportunities.
- Able to handle confidential material.
- Experience booking domestic and international travel.
- Interest in Security is a plus.
