The Administrative Early Childhood Developmental Specialist (ECDS)/Compliance Specialist position assumes complete responsibility for the classrooms, including supervision of Lead Teachers, Classroom Technicians, and Lead Teacher/ECDS staff. The Admin ECDS ensures all required classroom documentation, such as the annual Individualized Treatment Plan, is timely and accurate. The role also ensures appropriate developmental testing is completed on all new or potential patients and annually for enrolled patients, and facilitates habilitation services across cognitive, communication, social/emotional, motor and adaptive skills.

The Admin ECDS assists in hiring and training new classroom staff and mentors existing staff, and must exhibit strong communication, leadership, and problem‑solving skills with minimal supervision.

This position works with the Patient Care Coordinator and other administrative staff to coordinate patient care, maintain documentation during enrollment, acquire treatment approval, and act as the Privacy Officer.

Summary Of Essential Job Functions
  • Follow Arkids Pediatric Day Centers’ Employee Handbook, Management Policies and Procedures Manual, and Medical Policies & Procedures Manual.
  • Ensure all policies and procedures are implemented by staff, maintaining compliance with regulations set by regulatory agencies.
  • Maintain standards from Arkansas Minimum Licensing, Division of Provider Services and Quality Assurance, Medicaid, Arkansas Department of Health, and other regulatory agencies.
  • Develop lesson plans, distribute them a month in advance, and review with classroom staff.
  • Ensure Tally Sheets are completed as scheduled and checked for accuracy on Monday for the previous week, or a minimum of monthly.
  • Create Individualized Treatment Plans (ITPs) within one week of enrollment and annually thereafter, distributing them to classroom staff.
  • Update treatment plans, goals, and objectives, and distribute to classroom staff.
  • Schedule and coordinate ITP meetings at least annually.
  • Programmatically manage/supervise educational classrooms and staff related to ITP implementation.
  • Assist day‑to‑day staffing needs, ensuring appropriate supervision and adult‑to‑child ratios at all times.
  • Serve as a direct service provider when necessary, ensuring continual supervision and a safe, healthy environment.
  • Administer developmental assessment within 48 hours of a ‘refer’ notification and annually thereafter.
  • Maintain a tracker of all required documentation, updating it weekly and submitting to the Center Director on Friday.
  • Review classroom billing daily for accuracy and final submissions by specified deadlines.
  • Ensure all required classroom documentation is timely, accurate, and locked in the billing system.
  • Provide guidance and supervision of classroom planning and activities.
  • Maintain organization of all classroom supplies.
  • Develop and monitor a supply list, submitting a monthly supply request to the Center Director by the third week of the month.
  • Maintain open communication with parents/guardians, staff, and contract staff.
  • Maintain confidentiality of patients and staff.
  • Complete a monthly newsletter for staff and parents/guardians.
  • Complete a monthly activity calendar for staff and parents/guardians, sending it out the last week of the month.
  • Maintain familiarity with health and safety guidelines, reporting concerns to the Center Nurse or Director.
  • Ensure children sign in/out of the classroom by appropriate staff.
  • Advocate for the rights of patients and families served by the Center.
  • Create a clean, safe, healthy and sanitary learning environment.
  • Review Daily Classroom Checklists weekly.
  • Complete Classroom Observations monthly.
  • Attend and actively participate in weekly Administrative Meetings.
  • Lead or actively participate in classroom staff meetings quarterly, with agendas approved by the Center Director.
  • Help represent the program to parents, visitors, and the public positively.
  • Act as liaison for the public school system, conference with local Co‑Ops and schools for transitions.
