EPIC ADMINISTRATIVE ASSISTANT

Responsibilities- Provide direct administrative support to the Epic Project Director, including calendar management, meeting coordination, and follow-up tracking.
- Anticipate administrative needs and proactively resolve scheduling or logistical issues.
- Serve as a central point of contact for administrative coordination across Epic work groups.
- Schedule and coordinate meetings across multiple stakeholder groups, including clinical, operational, IT, and executive teams.
- Develop and distribute meeting agendas, materials, and pre-reads in collaboration with project leadership.
- Take and distribute meeting notes, action items, and decisions as directed.
- Coordinate meeting rooms, virtual platforms, equipment, and onsite logistics.
- Maintain organized project calendars, distribution lists, and contact directories.
- Support the development and formatting of project documents, presentations, and reports.
- Track meeting attendance, decisions, and follow-up items.
- Assist with onboarding logistics for new Epic team members.
- Track Epic team member schedules, planned time off, and availability.
- Assist with coordinating coverage and meeting schedules around PTO and training commitments.
- Maintain up-to-date team calendars to support project planning.
- Coordinate administrative functions related to Epic travel, training, and onsite sessions as needed.
- Liaise with internal departments (Facilities, IT, HR, Finance) for meeting space, access, and administrative needs.
- Support ad-hoc administrative requests related to the Epic program.
- High school diploma or equivalent; associate’s degree or higher preferred.
- 3+ years of administrative or executive support experience, preferably in healthcare, IT, or large project environments.
- Strong organizational, time‑management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, and virtual meeting platforms (Teams/Zoom).
- Ability to handle sensitive information with discretion and professionalism.
- Experience supporting large‑scale system implementations or healthcare projects.
- Familiarity with Epic or healthcare IT environments (preferred but not required).
- Experience coordinating complex calendars across multiple leaders and departments.
- Exceptional attention to detail.
- Proactive problem‑solving mindset.
- Professional judgment and discretion.
- Ability to work independently while supporting a leadership‑driven team.
- Strong interpersonal skills and customer‑service orientation.
This position reports to the Epic Project Director and works closely with Epic leadership, analysts, and operational stakeholders.
CompensationSalary commensurate with experience within posted range: $38,000–$52,000 per year.
