Office Administrator/ Coordinator, Admin Assistant
Job Description
Salary: $20.00 - $21.50 per hour, based on experience
Schedule: Full Time, Monday - Friday, 8:30am - 5:00pm
As an Administrative Assistant, you manage the reception area and provide administrative and clerical support to the Business Office Manager and Executive Director. This position also gathers personal information from inquiries, answers telephones, takes/delivers messages, and responds to the Business Office Manager’s requests.
PrimaryJob Responsibilities
- Assist with initial employment inquiries, reviewing candidates, processing applications and starting background checks.
- Aid in telephone inquiries in the absence of an immediately available Marketing person in obtaining information from inquiry including at minimum call back information.
- Respond to residents’ and family members’ questions and concerns and share important information with the Business Office Manager or other supervisor as appropriate.
- Respond and appropriately handle emergency situations that may arise in a calm, professional, and effective manner.
- Monitor the front lobby and entrance area for cleanliness.
- Organize incoming mail and ensure that it is distributed to the appropriate person.
- Maintain a community resource information library and/or directory to be able to route residents and/or their families to available services both in-house and in the general vicinity.
- Provide administrative assistance as assigned.
- A minimum of 2 years’ experience in an office environment, answering phones customer service position preferred.
- Must be able to multitask and handle competing priorities.
- Possess excellent time management and organizational skills and be able to meet deadlines.
- Strong verbal and written communication skills are required.
- Must have strong computer knowledge and be familiar with and skilled in standard office software programs.
- Ability to work effectively with different levels of personnel.
- Ability to relate well to residents and their families.
