Position Summary

The Events Lead ensures the successful delivery of all events within YFC’s national event portfolio. The role provides strategic, operational, and fiscal leadership for a diverse portfolio of small, mid-size, and large national events that often overlap and sit in different phases of development. This requires strong prioritization, disciplined coordination, and the ability to integrate mid-cycle requests without disrupting delivery. The Events Lead holds year-round stewardship of all event budgets—including forecasting, analysis, and monthly reporting in partnership with Finance—and oversees the facilities budget for the Solomon Building to ensure resources effectively support building operations and event execution.

This position requires a leader who can navigate shifting priorities, steward resources with integrity, and uphold organizational goals while driving excellence across all events.

Essential Functions

Event Leadership

  • Lead the established event priorities and ensure all event planning and execution align with organizational objectives and approved event charters.
  • Provide direct supervision to the Events Engagement Specialist (who also serves as the Building Host/Guest Experience Coordinator) and the Events Administrator, ensuring clarity of responsibilities across national events, local events, onsite meetings, and building operations.
  • Cultivate a healthy team environment where YFC’s cultural attributes are consistently demonstrated and where collaboration, transparency, and mutual support thrive.
  • Oversee the execution of all assigned national events in accordance with strategic directives, established processes, and defined scopes.
  • Apply continual improvement practices, demonstrating event agility, adaptability, and the ability to scale events appropriately to meet organizational needs.
  • Assign minimum essential matrixed personnel for event delivery in alignment with event charters, coordinating with the Division VP as needed for staffing decisions.
  • Ensure the Events Engagement Specialist, Events Administrator, and all matrixed personnel are accurately assigned to tasks and responsibilities according to established project procedures.
  • Mitigate risk through coordinated engagement with Risk and Legal, accurately documenting identified risks and ensuring rigorous contracting and compliance procedures are upheld.
  • Coordinate and execute multiple events simultaneously, managing varying scopes, timelines, and stakeholder groups while maintaining alignment with strategic directives and organizational standards.

Financial Leadership

  • Draft and maintain the budgets for all assigned events, carrying year-round fiscal stewardship including forecasting, variance analysis, reconciliations, and structured monthly reporting rhythms with Finance.
  • Maintain appropriate staffing levels (Events Engagement Specialist and Events Administrator) based on event cycles and ongoing budget responsibilities.
  • In coordination with Risk and Legal, solicit, negotiate, and ensure adherence to all contracts and vendor agreements.
  • Proactively adjust revenues and expenses to ensure net objectives are upheld without compromising event quality.

Event Management

  • Ensure tasks related to national events, local events, internal meetings, and room reservations are level-loaded appropriately across departmental staff and matrixed personnel.
  • Simultaneously manage tasks across multiple active event cycles, incorporating shifting priorities and mid-cycle needs while maintaining operational accuracy and continuity across the department.
  • Provide oversight, coaching, and direction for workflows related to internal meeting coordination, onsite event logistics, and reservation processes managed by the Events Engagement Specialist.

Long Term Planning

  • Forecast event sequencing, departmental needs, and resource allocation 3–5 years ahead to support sustainable staffing, budget pacing, and long-term organizational objectives.

Solomon Building Oversight

  • Provide oversight of the facilities budget, ensuring all expenditures align with organizational priorities and financial expectations, in partnership with Finance.
