OFFICE COORDINATOR ROLE

Your role is the hub of communications and coordination for the office. It is key to excelling our customer’s experience from first touch when someone calls in for an estimate to installation and follow up. Your voice and kindness is key to repeat and referral business that will drive our growth.

Your daily goal will be to keep leads moving, projects on track, and confirm and communicate scheduling to our customers. Problem-solving skills are essential to support a solutions-oriented teamwork approach. We track all leads, contracts, and project details in our CRM (Market Sharp) and you will excel by improving scheduling, finding more ways to digitize, automating customer follow-up while keeping key personal-touch customer experience.

KEY RESPONSIBILITIES CRM & TECHNOLOGY OWNERSHIP
  • Serve as Market Sharp (CRM) power user: workflows, templates, reminders, reports.
  • Manage digital contracts (fillable PDFs / Docu Sign).
  • Ensure all photos, notes, and documents are stored in Market Sharp.
  • Input lead sources, contracts, notes, and costs as the customer progresses through their project.
SCHEDULING, CUSTOMER SERVICE, GENERAL OFFICE
  • First touch for incoming calls and inquiries.
  • Manage the Market Sharp calendar for sales, installs, services, and meetings.
  • Send appointment reminders
  • Conduct sales/project follow-up calls and customer anniversary reminders.
  • Coordinate and schedule time-off requests, organize birthdays, meetings, and team events.
LEAD MANAGEMENT & PROJECT PROCESSING
  • Process and assign new leads; create Market Sharp contact records.
  • Ensure quotes, notes, and coding are entered by sales team.
  • Input contracts into Market Sharp; push contracts to Quick Books.

    Monitor job progress and proactively resolve issues.
  • Prepare and upload installer/service paperwork, customer gifts, invoice, and warranty information.
  • Generating Daily Status Report and updating daily.
MARKETING SUPPORT
  • Writes and posts Google review responses.
  • Maintain showroom collaterals
  • Coordinates trade shows
  • Coordinates customer events (Pie Day, Free Screen Repair, etc. )
ROLE REQUIREMENTS
  • 5+ years scheduling, customer service, or office coordination experience.
  • Strong organizational and problem-solving skills.
  • Proficient in MS Office, Google Suite, Outlook, & CRM systems (Market Sharp, Sales Force a plus).
  • Excellent written and verbal communication.
  • Tech-savvy, proactive, and process-oriented.
  • Friendly and professional; thrives in a small, fast-paced, family business.
SUCCESS METRICS (First 12 Months)
  • 100%+ of leads contacted within 3 business hours of initial outreach
  • 90%+ of customers receive proactive project updates including appointment reminders and ETAs.
  • 15% of annual contracts agree to post a Google review.
  • CRM adoption across sales and operations with clean, accurate data.
