Job Summary
On a part‑time basis, the Office Assistant will provide administrative support to ensure the smooth functioning of the office including, but not limited to, organizing meetings, travel & event planning, managing office inventory, maintaining company files, and supporting the Senior Leadership Team.
Responsibilities- Manage calendar, domestic/international travel in accordance with the company's travel policy, and event planning for Senior Leadership, Sales and Marketing.
- Provide and maintain office supply inventory for Parsippany and Bridgewater offices by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products to reduce costs, placing and expediting orders for supplies and verifying receipt of supplies.
- Manage scheduling and facilitating Health Care Professional (HCP) consulting meetings including invoice processing and management.
- Prepare agendas, reports, presentations, and other important materials and process expense reports for Senior Leadership.
- Maintain filing system for all contracts, agreements and clinical advisor fees in an efficient and easily accessible manner.
- Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries and keeping the office organized.
- Screen all incoming calls and route messages to appropriate individuals & departments.
- Find new ways to increase office efficiency and help drive cost savings.
- Support company advocacy initiatives to help raise awareness of sarcoma and pediatric cancer and drive positive change that will impact the lives of cancer patients.
- Perform additional ad hoc requests as needed.
- A minimum of 3 years of office administration experience
- Calendar, travel and event planning management
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, PowerPoint and Share Point
- Experience with an ERP system a plus
- Well organized, self‑motivated, able to work independently, and thrive in a fast‑paced dynamic environment
- Strong attention to detail, excellent interpersonal, as well as oral and written communication skills
- Ability to manage confidential information
