Position: Contract Proposal Specialist

Proposal Specialist – Total Safety

Total Safety, the leading global provider of integrated safety and compliance solutions and products, is looking for a Proposal Specialist to support the Director of Commercial Services by facilitating the proposal process and driving improvement initiatives across the global organization.

Roles and Responsibilities
  • Development of major bids/quotes/proposals for the enterprise.
  • Profitability modeling for proposals.
  • Price/volume tracking by end market and geography.
  • Support internal clients (Sales, Finance (AP/AR), Billing, Marketing & Operations).
  • Coordinate proposal efforts of any size, including turnkey proposals, turnaround/project proposals, and complex proposals with multiple lines of business.
  • Facilitate the proposal process from start to finish, including kick‑off, status meetings, and bid reviews.
  • Compile and formulate data from various sources to ensure RFQ submissions optimize financial gain and meet customer requirements.
  • Coordinate the assembly of narrative and financial responses from functional departments.
  • Use existing proposal processes and develop and track proposal metrics.
  • Work with departments such as Supply Chain Management, Finance, Accounting, Legal, Sales, and Operations to manage proposal development and roll‑out.
  • Develop an implementation and control plan of the proposal process and estimating tools to ensure bid success and gross‑margin achievement.
  • Collaborate with divisions to improve processes.
Education and Qualifications
  • Bachelor’s degree in business, finance, or accounting.
  • 3‑5 years’ experience in an industrial/commercial services contracting environment.
  • Experience preparing industrial/commercial bids & proposals.
  • Ability to work in a high‑tech, fast‑paced environment.
  • Understanding of technical safety service/product sales support and project management preferred.
  • Advanced Word (proposal documents) and Excel (complex spreadsheets) skills; strong organizational skills.
  • Strong technical aptitude required.
  • Experience with web conferencing.
  • CRM database software experience required;
    Salesforce experience preferred.
  • Experience generating metrics.
  • Travel as required.

  • Excellent verbal communication skills; ability to lead cross‑functional meetings with executive leadership.
  • Attention to detail.
  • Prioritization and multitasking; ability to work under pressure and extended hours during major proposal deadlines.
  • Analytical skills and ability to filter out non‑relevant information.
  • Flexibility to work with others at all levels of the organization.
  • Team player and collaborator in developing a company estimating process to optimize gross margin and support project success.
Physical Demands

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Occasionally required to stand, walk, and stoop, kneel, or crouch. Must occasionally lift and/or move up to 50 pounds. Specific vision abilities required include close vision, distance vision, color vision, and ability to adjust focus.

Reporting Relationships

Works consists of varied but routine tasks. Uses pre‑determined standards to ensure data accuracy, report distribution, and completion of projects in accordance with department policies. No supervisory responsibility but regularly serves as a resource and may serve as a lead or technical specialist.
