We are seeking a professional and detail-oriented, friendly and service-oriented Front Desk Representative to join our team at our medical spa. This role serves as the first point of contact for clients, ensuring a welcoming environment and a top-quality experience.
Responsibilities- Greet customers as they arrive and provide an excellent customer experience
- Answer phone calls, respond to emails, and schedule appointments
- Assist clients with paperwork, including consent forms, ensure all consent forms are signed, filed, and maintained accurately
- Maintain a clean and inviting environment
- Provide general customer service and attend to the needs of customers throughout their services
- Process client payments and manage follow-up scheduling
- Utilize scheduling software (Gloss Genius or Vagaro preferred)
- Monitor and update inventory; communicate low stock to management
- Maintain organization and cleanliness of the center, including towels, supplies, and garbage disposal
- Assist with morning preparation (coffee, supplies, treatment rooms) and closing reset procedures
- Complete tasks assigned by the Administrative Coordinator or Manager in a timely and accurate manner
- High school diploma or equivalent required
- Two or more years of experience as a receptionist or similar role is preferred
- Excellent communication skills and interpersonal skills with a commitment to customer service
- Strong work ethic and positive attitude
- Familiar with computers and scheduling software, such as Gloss Genius or Vagaro (preferred)
- Proficiency with Microsoft Word, Google Docs, Google Sheets, and other office technology
- Excellent organizational skills with attention to detail
- Excellent multi-tasking skills and manage time effectively in a fast-paced environment
- Knowledge of esthetics/spa services (preferred)
- Customer service experience (preferred)
- Bilingual:
English / Spanish (preferred)
