Role overview: The Administrative Assistant will play a pivotal role in ensuring the efficient operation of our organization. You will be at the heart of our operations and support various critical functions that contribute to our growth and success. Your responsibilities encompass a diverse range of tasks, including coordinating travel arrangements, facilitating new hire onboarding, planning, and executing special events.
Key Responsibilities- Organize and coordinate executive-level meetings, conferences, and events.
- Prepare meeting agendas, take minutes, and follow up on action items to ensure seamless execution and follow-through.
- Data Management:
Handle sensitive and confidential information with utmost discretion. Maintain and update executive records, including contact lists, organizational charts, and other key documentation. - Project Support:
Assist in the coordination and management of special projects initiated by the executive team. - Collaborate with cross-functional teams to gather data, track progress, and ensure deadlines are met.
- High school diploma or equivalent.
- Strong attention to detail and accuracy in data entry.
- Basic understanding of financial terminology and concepts.
- Proficiency in data entry software and tools.
- Excellent organizational skills and the ability to prioritize tasks effectively.
- Strong communication skills and the ability to collaborate with team members.
- Commitment to maintaining data confidentiality and integrity, especially when handling sensitive immigration and visa information.
