We are looking for an experienced and highly organised Executive Office Manager to lead office administration, governance, and policy management functions across the Singapore platform.
Overseeing daily office operations, leading administrative personnel, facilitating cross-functional collaboration, and ensuring the effective execution of corporate policies and management directives.
This position is responsible for developing, implementing and monitoring internal policies, procedures and control frameworks to enhance operational efficiency, consistency and effective governance across the organisation.
Key Responsibilities 1. Internal Controls, Governance & Policy Management- Develop, implement, and maintain internal policies, procedures, and governance frameworks across the Singapore platform.
- Monitor compliance with internal policies and procedures and support their effective implementation.
- Coordinate periodic reviews and updates of company policies and procedures.
- Prepare reports, meeting materials, and management papers relating to governance and operational matters.
- Oversee daily office administration, facilities management, vendor coordination, and operational support functions.
- Manage office budgets, procurement activities, and cost-control initiatives.
- Assist with operational and administrative compliance matters, ensuring adherence to local regulations and internal policies.
- Supervise administrative staff and ensure the effective day-to-day operation of the office.
- Oversee employee administration matters, including recruitment coordination, onboarding, offboarding, and personnel documentation.
- Support the implementation of HR policies, procedures, and employee engagement initiatives.
- Liaise with external HR service providers and relevant authorities on employment‑related administrative matters.
- Bachelor’s degree in Business Administration, Human Resources, Management, or a related field.
- Minimum 4–7 years of relevant experience, with at least 3 years in a managerial role.
- Strong background in creating, reviewing, and maintaining company policies, procedures, guidelines, and administrative documents.
- Strong skills in coordinating tasks, communicating effectively, and managing stakeholder relationships.
- Proficiency in English and Chinese is required as the role involves drafting and reviewing policies and communications in both English and Chinese, and engaging with Chinese‑speaking stakeholders as part of job responsibilities.
- Maintains strict confidentiality and exercises sound judgment when managing sensitive and confidential information.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management systems.
