We’re looking for a highly organized, resourceful, and versatile Admin Assistant/PA to support the CEO and manage critical operational functions across office administration and finance. You’ll be the right hand to the CEO, ensuring smooth day-to-day operations while wearing multiple hats in a fast-paced startup environment.

Key Responsibilities Executive Support
  • Act as the primary point of contact between the CEO and internal/external stakeholders
  • Manage and coordinate calendars, meetings, travel arrangements, and communications
  • Assist on errands and personal matters of the CEO
  • Prepare agendas, take meeting notes, and follow up on action items
  • Handle confidential and sensitive information with discretion
Finance & Admin
  • Track and manage invoices, expense claims, and petty cash
  • Data entry on Xero
  • Assist with budgeting, financial reporting, and bookkeeping coordination with external accountant
  • Support grant applications, government submissions, or startup fundraising ops
Requirements
  • Proven experience in a PA, EA, or operations/finance role (startups preferred)
  • Strong organizational and multitasking skills
  • High level of discretion, integrity, and professionalism
  • Excellent written and verbal communication skills
  • Proficient in Google Workspace, Excel, and general office tools
  • Comfortable learning new platforms (e.g. accounting software, social media platforms)
  • Resourceful, alert, a problem solver and self-starter who thrives in ambiguity
  • Comfortable to travel or work offsite with CEO
Good to Have
  • Prior experience in a startup or high-growth company
  • Basic accounting knowledge (e.g., invoicing, profit & loss statements)
  • Interest in media business operations and growth
