Job DescriptionContract Duration: 11 Months
Pay Rate: $19/hr
Will be responsible for providing high-level, administrative support to a busy senior-level executive in the company, including managing their schedule, meetings, and travel. This position requires high organization, multitasking ability, resilience under pressure, and comfort interfacing with all levels of management, staff, clients, vendors, and candidates in a fast-paced environment. The Executive Assistant maintains confidentiality, is the first point of contact for internal and external stakeholders, and works independently with minimal supervision.
Responsibilities include:
- Extremely heavy calendar management; coordinating and scheduling internal and external meetings
- Extensive scheduling of international and domestic travel
- Comprehensive phone coverage and expense processing
- Communicating and interacting internally with all levels of the group and across functions, as well as externally with clients and their teams
- Arranging charity events and volunteer activities
- Registering visitors, contractors, and new hires
- Supporting onboarding and offboarding resources
- Arranging catering and logistics for large meetings and town halls
- Providing general support and other tasks for the department
Requirements:
- 5+ years of Investment Banking or financial services support experience
- Strong attention to detail, follow-up, and organizational skills
- Ability to handle sensitive/confidential information discreetly
- Sense of urgency, adaptability, flexibility, and resourcefulness
- Ability to work professionally under pressure, managing multiple projects and deadlines
- Personal tact, discretion, good judgment, and excellent communication skills
