Job Description: The Supports Coordination Office Support Personnel (SC OSP) is responsible for all clerical duties of the Supports Coordination Organization. The SC OSP will report directly to the Program Support Specialist.
Qualifications: Candidate must have their high school diploma or GED and, preferably, has previous experience as clerical staff in an office environment. They must have a strong knowledge of Microsoft Office, Microsoft Windows, Google Workspace and common office equipment. The candidate must possess high quality organizational skills and the ability to adhere to strict deadlines as well as possessing excellent communication skills.
The SC OSP must have the ability to plan and organize work as well as prepare adequate records and reports.
Requirements: Current FBI, Criminal History and Child Abuse clearances will be required at time of hire. Employee must be willing to update clearances as per regulations.
Job Duties:- Makes effective use of their energies, resources and talents in promoting the objectives, values of the organization;
- Helps coordinate and disseminate information;
- Works with supervisor in establishing and implementing agency priorities, goals and strategies;
- Helps facilitate and foster effective and supportive relationship between individuals receiving services and The Arc Alliance and its affiliated agencies;
- Create, prepare, copy and send all outgoing communications for SCO personnel including all necessary documentation;

- Effectively track and inform SCs of ISP timelines, adhering to ODP requirements for mailing of individual plans and tracking all relevant communications from ISP reviewers and SC Supervisors;
- Create and use templates in Docu Sign to send electronic correspondence to team members. Follow up as needed;
- Effectively track and inform SCs of PUNS timelines, send out reminders, place PUNS in inactive status when needed, enter service notes for PUNS mailing, complete finalized PUNS letters and adhere to ODP requirements for PUNS timelines;
- Maintain SIS tracking data, notifying SCs of new SIS assessments, saving copy in P. Drive, following up with SCs on letter requests and completing SIS mailing and distribution. Notifying SCO Administration of any SIS issues and concerns;
- Run regular reports to identify new Health Risk Screening Tools and notify SCs as necessary;
- Obtain physicals as requested by County AE offices and send to appropriate AE personnel. Track physical status and dates for individuals that require yearly documentation. Notify SCs of upcoming due dates and send out letters as needed;
- Assist with intake process for new individuals served by the SCO;
- Create and maintain a list of individuals with possible Harry M status. Update and/or remove names with ODP instructions. Complete regular quality checks for missed individuals;
- Complete filing of individual charts, maintaining a regular filing schedule amongst SC caseloads, thin charts as necessary, transfer charts for caseload changes and replace & create charts and filing folders as needed. Copy and complete closing tasks for external transfers and case closures;
- Complete monthly quality management check for individual charts;
- Maintain an orderly filing system for archived and closed charts and assist with annual archive purge;
- Receive and distribute all incoming mail for Supports Coordination personnel and stamp outgoing mail;
- Receive, print and distribute all electronic reports from providers to SC personnel;
- Complete minutes of SC staff meetings, maintaining a master file;
- Maintain database of SCO personnel qualification documents, notifying staff of upcoming due dates and maintain physical documentation for yearly audits;
- Generate Medicheck, LEIE and EPLS reports bi-monthly; report any findings to Administration;
