Position SummaryJMT is an engineering and architecture firm serving public and private sector clients from 49 offices in 16 states and the District of Columbia. We are seeking an enthusiastic proposal/marketing coordinator to join our PA/OH regional marketing team. Our pursuit coordinators work together with technical subject matter experts (SMEs) to develop proposals and other marketing materials that are compelling, accurate, creative, focused, and compliant with the client's RFP/RFQ requirements.
Essential Functions and Responsibilities- Coordinate preparing project proposals, expressions of interest, technical proposals, and presentations
- Search for and enter RFPs/advertisements into CRM system
- Develop proposal outlines
- Coordinate all phases of the proposal development process from the kick‑off meeting throughout production, submission, and proposal closeout
- Participate/attend preproposal meetings, kick‑off meetings, debriefings, etc.
- Prepare major sections of proposals, including but not limited to project‑specific firm qualifications, project descriptions, and professional resumes. Collaborate with SME’s to develop other proposal content.
- Coordinate with other contributors such as graphic designers, legal department reviews of contractual language, and the appropriate signatories
- Assist with presentation preparation, presentation materials, etc.
- Produce consistently compliant, high‑quality, and creative submissions while delivering exceptional customer service to internal and external partners
- Maintain data integrity by managing proposal‑specific information in CRM, tracking leads, making go‑or‑no‑go decisions, and reporting wins or losses
- Maintain brand‑specific marketing materials, including resumes, qualifications information, project descriptions, photographs, subconsultant information, etc.
- Work closely and interact with technical staff, administrative staff, and marketing staff in other offices, as well as outside vendors, subconsultants, and clients
- Enter and manage opportunity data for project opportunities in the CRM marketing database, tracking leads and associated go/no‑go decisions, and wins or losses
- Gather information, conduct market research about prospects/clients/projects, and participate in developing various business collateral to support continued strategic growth
- Generate reports for technical staff on marketing efforts, when required
- Organizational support of office, regional, and corporate marketing efforts
- Adhere to JMT's Quality Management System (QMS), ISO 9001:2015 Marketing procedures
- Perform other related duties as assigned
- Bachelor's degree in Marketing, Business, Communications, Journalism, or English
- 2‑3 years of experience as a marketing lead in the proposal development process at an ENR Top 100 Design Firm. Must include transportation industry experience and large‑market public agency (i.e. metropolitan city) experience.
- Proficient in Adobe Creative Cloud with proficiency in In Design
- Proficient in Microsoft Office Suite
- Proficient in CRM Systems
- Knowledge of the RFP structure and proposal development and submission process
JMT offers a hybrid work schedule. The selected candidate is expected to work in a JMT office location at least three days per week or as needed to perform assigned duties. Work is performed within a general office environment 95% of the time. Work is generally sedentary in nature but may require occasional standing and walking. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc.
