Responsibilities
- Provide corporate, administrative and democratic support services to all Council officers and Members.
- Support the Events Manager to deliver community, civic and mayoral events.
- Act as the deputy Planning Committee Clerk to support the Planning Clerk Committee to plan and deliver Planning Committee meetings both formal and informal and “acting up” in their absence after receiving appropriate training.
- Provide administrative support to the Council Mayor, to Councillors and Council's staff. Attend operational meetings and take minutes as requested. Keep noticeboards and Civic/Council advertising up to date at all times, adhering to statutory deadlines. Efficiently manage stationery levels, ensuring supplies are available at all times. Utilize various software formats to prepare formal correspondence, and meeting information with a professional approach and attention to detail.
- Support the delivery of the Town Council's public image, through the use of social media and other IT tools.
- Be the public interface and first point of contact to the Town Council, with in-person, telephone, email, and internet callers, dealing sensitively and courteously with all enquiries. Promote the Town Council and its work to residents, businesses, and visitors.
- Assist both the Business Manager & Communities Manager in ensuring the Council has a well organized, up to date asset and service monitoring in place carrying out assets, allotments, ward and town centre inspections and creating reports as and when required.
- Work closely with other Officers to coordinate activities related to operational delivery, supporting new projects as required, by implementing decisions of Committees and Council.

- Comply with the Council’s policies and procedures and work with the Council Team in the delivery of the Council’s priorities expressed in the Council Plan.
- Deal with correspondence or documents or bring such items to the attention of the Council, as necessary.
- Act as a representative of the Council as and when required.
- Promote and deliver fair, sensitive, and quality services as a commitment to and understanding of the Council’s approach to equality and diversity.
- Maintain a working knowledge of relevant legislation, best working practices, and codes of practice: arrange and deliver briefings, training and reports to councillors.
- Comply with all data protection law in the processing of personal, and special data categories of personal data, in line with the Council’s full privacy and service privacy notices.
- Submit returns in respect of employee’s hours of work, overtime, annual leave, and sickness absence where appropriate.
- Liaise and develop relationships with external bodies, including other Local authorities, residents, businesses, and local organisations.
- Ensure all requests for information held by the Council are processed in accordance with the Council’s policy in respect of handling requests under the Freedom of Information Act 2000.
- Responsible for your own continuing self-development and attend training and other courses as directed by the Council, to acquire the necessary professional knowledge required for the efficient delivery of the affairs of the Council.
- Take reasonable care for your health and safety and have regard to other persons who may be affected by the performance of your duties, in accordance with the provisions of Health & Safety legislation, and Council practice and procedures.
