Job Summary
Reporting to the Senior Financial Accountant, the Financial Reporting Officer provides strategic and technical support to country offices on grant budgeting, financial management, and donor financial reporting. The role may be based in any IPA country office, with a preference for central and South American locations. As a key member of the Global Finance team, the officer works closely with the Grants team and other global stakeholders to strengthen systems and processes for grant budgeting, invoicing, auditing, and financial forecasting, emphasizing automation, standardization, and continuous improvement.
The officer leads the donor financial reporting process, including reconciling budget versus actual reports and handling budget restatements. The role oversees quality control and continuous improvements to the budget upload and revision processes, provides financial guidance to the Grants and Programs teams throughout the post‑award lifecycle, coordinates grant audits, and manages complex donor invoices and financial deliverables. The officer also designs, tests, and disseminates internal financial reports to improve monitoring of budget execution, cash flow projections, and grant‑level financial forecasts, working with global teams to enhance budgeting, coding, and reporting structures across Net Suite, Salesforce, and other systems.
Responsibilities- Prepare donor invoices and follow up with internal stakeholders and sponsors to ensure timely invoicing.
- Act as liaison among Grants, Programs, and Country Finance Teams, monitoring grant payments to IPA Accounts Receivables and updating monthly reports.
- Ensure post‑award financial management complies with relevant regulations and policies (FCDO, US government, etc.).
- Provide procedural, policy guidance and interpretation for program staff and sub‑grantees to ensure adherence to grant financial management procedures.
- Update Salesforce records for grant deliverables and conduct regular audits of grant deliverables due on Salesforce to keep grants officers and managers informed of overdue deliverables.
- Assist with financial inquiries and preparation for the annual audit review.
- Perform other duties as assigned.
- At least five years of combined financial and accounting experience.
- Bachelor’s degree in Accounting, Business Administration, Finance, or a related field.
- Knowledge of grant award/contractual documents such as grant agreements, subcontracts, and modifications.
- Experience working with international non‑profits and in a multi‑office, multi‑national environment, including multiple currencies.
- Fluency in Spanish and English (written and spoken).
- Experience with financial analysis, reporting, cash‑flow analysis, budget development, and forecasting.
- Proficiency in financial software applications, databases, spreadsheets, and MS Office; advanced Microsoft Excel skills preferred.
- Team player with a positive attitude and ability to build strong relationships across functions.
- Excellent customer‑service and communication skills in a fast‑paced environment.
- Ability to focus on technical work and manage simultaneous projects.
- Strong attention to detail and excellent time management.
- Experience with Salesforce and Net Suite is advantageous.
- Demonstrated ability to improve processes and workflows.
