The Instruction Office Manager at the GT campus is responsible for general secretarial and office management of the academic administration office on the Golden Triangle Campus.
Duties- Support switchboard operations for the college as needed;
- Route and take phone calls and take messages, when applicable, for the academic administration office;
- Completes typing/word processing, electronic spreadsheet development, and database management for the academic administration office as assigned;
- Assist academic administration in maintaining personnel files for the appropriate office;
- Coordinate, collect, and distribute mail for academic administration, faculty, and staff;
- Disseminate outgoing mail to the Business Office and appropriate departments;
- Order and maintain inventory of general office supplies for academic administration;
- Assists faculty with monitoring copier and printer needs in the instructional buildings on campus;
- Serve as receptionist for all visitors and students who visit the academic administration office;
- Assist academic administration with the preparation and maintenance of files, portfolios, special reports, and all documentation related to local, state, and federal compliance;
- Assist academic administration in the preparation and maintenance of state inventory records;
- Enhance professional skills yearly by attending classes and seminars as needed;
- Works with the appropriate office to manage the availability of instructional classrooms on the GT campus;
- Assist with elearning and accessibility services testing as assigned by supervisor;
- Effectively communicates with, cooperates with, and supports other college personnel in daily activities.
Education:
Associate Degree is required.
Skills:
Proficient in Microsoft Office;
Strong work ethic, excellent communication, and interpersonal skills, required;
Office management skills, required.
Work Experience:
2 Years of related work experience.
- Supports the College mission implicitly and explicitly in the daily execution of all duties and responsibilities;
- Actively participates in maintaining an effective and continuous recruiting program;
- Participates in Institutional Effectiveness activities;
- Represents the College in a professional manner as evidenced by dress, demeanor and the discharge of daily responsibilities;
- Fulfills other duties as assigned by the President and/or supervisor.
