Job DescriptionPosition Overview:
This position provides administrative and professional support to a solo criminal defense attorney. The ideal candidate is highly detail-oriented, self-directed, and able to work with very limited supervision, as the attorney is frequently out of the office. This role requires strong communication skills, professionalism, discretion, and an understanding of the importance of attorney-client confidentiality.
- Serve as the primary point of contact for clients and visitors; provide courteous and professional reception and customer service.
- Manage phone calls, messages, and correspondence in a timely and respectful manner.
- Maintain and organize the office filing system, both physical and digital.
- Perform general office duties including photocopying, scanning, printing, and typing.
- Draft legal documents and correspondence using existing templates and attorney guidance; utilize document creation software specific to criminal law practice.
- Prepare and manage case files for court, hearings, and client meetings.
- Manage the attorney’s calendar, including scheduling appointments, court dates, and reminders.
- Assist with tracking attorney time, preparing billing entries, and generating invoices.
- Handle basic bookkeeping entries into billing software as directed.
- Maintain office supplies and coordinate ordering when needed. (
Note:
Attorney primarily handles supply orders; this task is occasional.)
- Previous administrative or legal assistant experience preferred; experience in a law office (especially criminal law) is a plus.
- Strong written and verbal communication skills; ability to communicate professionally with clients, court staff, and other legal professionals.
- Ability to work independently, prioritize tasks, and manage workload without close supervision.
- High attention to detail, accuracy, and organization.
- Proficiency with computers, office equipment, and document preparation software.
- Trustworthy, discreet, and fully capable of safeguarding sensitive client information.
- Self-starter who takes initiative and completes tasks reliably.
- Comfortable managing responsibilities with minimal direction.
- Professional demeanor, even in emotionally charged or sensitive situations.
- Understanding of attorney-client privilege and a commitment to always maintaining confidentiality.
This is an in-office role in a professional legal setting. The pace can vary depending on court schedules and client needs, requiring flexibility, composure, and consistent organization.
Hours and CompensationThe schedule for this position offers flexibility and will be arranged to accommodate both office needs and the candidate’s availability. Compensation is negotiable based on knowledge and experience.
