Administrative Support Professional II (College of Medicine-Phoenix)

Join the University of Arizona’s College of Medicine-Phoenix as an Executive Assistant II, providing high-level administrative support to the Dean, Chief of Staff, and Vice Deans. This role manages day‑to‑day inquiries, calendar coordination, special reports, and confidential communications, while maintaining a detail‑oriented, highly organized office environment.

Duties & Responsibilities
  • Track and maintain the Dean’s calendar, coordinating complex meetings and providing reminders.
  • Proactively anticipate needs, assembling resources to resolve issues and coordinate initiatives.
  • Manage travel arrangements and itineraries for the Dean’s office and visiting faculty.
  • Prepare agendas, executive summaries, presentations, and meeting materials.
  • Handle confidential information with immediate impact on campus operations, performance, or value.> /li>
  • Attend training for procurement, travel, and Foundation classes to ensure compliance with UA and Foundation policies.
  • Provide assistance to the Dean’s office, Vice Deans, faculty, and outside organizations as needed.
  • Act as a liaison to other programs, departments, or agencies, providing guidance and necessary correspondence.
  • Organize, edit, and develop program/presentation materials, tracking projects, assignments, and due dates for events and projects.
  • Manage departmental phone inquiries, mail distribution, conference room calendar, email lists, office supply inventory, and address issues as needed.
  • Handle incoming calls and assist visitors, triaging requests and relaying messages to the Dean and relevant personnel.
  • Serve as back up for other support staff positions, as assigned by Chief of Staff.
  • Assist with special projects and other duties supporting the overall mission as assigned.
  • Coordinate office activities and operations to secure efficiency and compliance with all UA/UA COM-P policies.
  • Oversee and problem‑solve issues with the COM-P Dean’s office suite, including ancillary departments.
Knowledge, Skills & Abilities
  • Excellent verbal and written communication skills with high levels of emotional intelligence.
  • Ability to convey accurate, complete information and maintain strict confidentiality when required.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Professional and friendly demeanor interacting with diverse individuals.
  • Ability to assist the public in a professional, courteous, and service‑oriented manner.
Minimum Qualifications
  • Bachelor’s degree or equivalent advanced learning attained through professional level experience required.
  • Three (3) years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience with organizational software such as One Note, Adobe Suite, database development and management skills, and SAP experience.
  • Professional caliber social media communications and experience with SharePoint.
  • Experience building and maintaining positive working relationships with coworkers, leadership, and cross‑functional departments.
  • Commitment to the Core Concepts of Patient and Family Centered Care and adherence to organizational conduct standards and guidelines.
  • Experience providing exceptional customer service while effectively assisting both internal and external stakeholders.
