We are currently seeking a Front Desk Administrative Assistant for our Phoenix, AZ office. In this role, you will work as part of an administrative team, performing a wide variety of tasks to provide a high level of support for our professional consultants and corporate staff. Qualified candidates will be asked to take an editorial assessment via Microsoft Word prior to a potential interview.
Responsibilities- Manage an extremely busy front desk of a gated facility
- Screen visitors arriving at the front gate and direct them on how to proceed
- Greet office staff and visitors in a professional and welcoming manner
- Screen and forward incoming phone calls
- Schedule appointments and manage conference room calendars
- Maintain visitor logbook and manage distribution of visitor and contractor badges
- Prepare outgoing mail and distribute incoming mail
- Maintain a clean and organized reception area
- Filing, scanning, and record keeping
- Assist with special projects as assigned
- High level of attention to detail and the ability to manage several tasks simultaneously
- Working experience and knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience with Vision/VantagePoint is a plus
- Demonstrated problem‑solving skills
- Committed to quality work for both independent tasks and team projects
- Self‑starter who shows initiative
- Motivated to learn new systems, processes, and skills
- Strong interpersonal skills
- Excellent time management
- Adaptability and flexibility with the ability to prioritize
- Positive attitude and upbeat personality
- Must be able to lift, push, pull a minimum of 20 lbs.
