Base pay range: $20.00/hr – $25.00/hr.
Position SummaryThe Corporate Administrative Assistant provides clerical and administrative services and assistance at our Corporate Support Center. The role supports leaders within the organization, partners with projects, schedules and maintains all areas of the corporate office, collaborates with building management, and manages various office priorities.
Essential Functions- Word processes correspondence and reports from rough drafts, editing grammar, punctuation, or spelling as needed. Includes taking and transcribing dictation involving general business and healthcare vocabulary.
- Prepares, collates, and distributes various reports in a timely and accurate manner, handling recurring department projects or one-time projects as directed by supervisor.
- Screens telephone calls and visitors, provides information to callers, requiring detailed knowledge of the department’s area of responsibility and general company policies, practices, and operations.
- Performs confidential administrative functions such as typing, proofing, and assembling reports or proposals for customers or outside agencies, and takes, transcribes, and distributes minutes of important meetings.
- Coordinates supervisor’s and/or department’s calendar, including scheduling meetings and appointments, following established instructions from manager. Coordinates meetings, prepares materials and AVA setup, and develops meeting flyers and materials.
- Facilitates the Corporate Office mail process by opening and screening mail, composing responses to routine inquiries, and forwarding items to manager.
- Provides clerical and administrative support to assigned leaders’ departmental staff, maintaining confidentiality on all sensitive information.
- Maintains supply inventories, checks stock levels, places orders and verifies receipt of supplies.
- Arranges and coordinates with Property Management on building work orders, parking validation stickers, pallet deliveries, etc.
- Develops and maintains Office Security and Fire Safety plans and protocols as Office Security Officer.
- Other duties as assigned.
- Requires extensive sitting with periodic standing and walking.
- May require lifting up to 20 pounds.
- Requires significant use of personal computer, phone, and general office equipment.
- Needs adequate visual acuity and ability to grasp and handle objects.
- Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone.
- May require off‑site travel.
High school diploma/GED or equivalent. Working knowledge of clerical and administrative services with three years of administrative experience supporting mid‑level leaders (Director-level & above).
Proficient in Microsoft Office 365 applications (Outlook, Teams, Word, Excel, PowerPoint).
Strong oral, written, and interpersonal communication skills: ability to follow directions, schedule meetings, assist customers, and multitask in a fast‑paced environment, maintaining professionalism.
Preferred QualificationsAssociate’s Degree.

DIRECTLY REPORTINGThis position reports directly to the Manager of Executive Support.
SCOPE AND COMPLEXITYThis position requires occasional discretion and judgment. It works independently with moderate supervision and frequent interaction with employees, physicians, patients, visitors, community agencies, and vendors.
