Position Summary

The Project Coordinator supports Project Managers and project teams by coordinating administrative, scheduling, and documentation activities throughout the project lifecycle. The role maintains accurate project records, facilitates communication among stakeholders, and assists with day‑to‑day project operations.

Essential Functions and Responsibilities
  • Project Documentation Management: manage and maintain all project documentation, including permits, certificates of insurance, special insurance requests, safety plans, and close‑out files; ensure accuracy and timely filing in Share File.
  • Project Coordination & Administrative Support: provide day‑to‑day admin support to Project Managers by preparing purchase order requests, subcontractor paperwork, welcome letters, and field folder materials.
  • Scheduling & Tracking: maintain and update internal and external project schedules; manage pod job‑flow spreadsheets and labor tracking data to support visibility, reporting, and workload planning.
  • Change Order & Documentation Follow‑Up: track, monitor, and follow‑up on change orders and outstanding documentation to ensure timely resolution.
  • Meetings & Communication Support: coordinate and support internal and external project meetings, prepare agendas, capture minutes, and distribute action items.
  • Cross‑Functional

    Collaboration:

    collaborate with Project Managers, Field Operations, Superintendents, Accounting, Finance, Safety, and subcontractors to coordinate information flow and documentation.
  • Operational Efficiency & Compliance: promote operational discipline, documentation standards, and compliance requirements to reduce administrative burden.
  • Perform related duties as needed to support business operations.
Skills and Qualifications
  • High school diploma or equivalent (required)
  • Associate degree or relevant coursework (preferred)
  • 3–5 years of administrative, project coordination, or construction support experience (preferred)
  • Strong organizational and administrative skills
  • Ability to manage multiple tasks and priorities simultaneously
  • High level of attention to detail and accuracy
  • Proficiency with spreadsheets and shared document management systems
  • Experience supporting project schedules, documentation, and reporting
  • Strong written and verbal communication skills
  • Ability to work effectively in a team‑based environment
  • Professional communication with internal and external stakeholders
  • Willingness to escalated issues appropriately to avoid project delays
  • Initiative to push projects and tasks forward
