Our Opportunity
We are seeking a proactive and detail-oriented Administrative Assistant to provide support to consultants and corporate staff. This role is ideal for a highly organized professional who thrives in a dynamic environment and enjoys a support role.
You will be responsible for- Prepare and process expense reports
- Conduct project conflict checks and assist with new project setup in electronic systems
- Draft retention letters, statements of work, and finalize project documentation
- Format and edit documents, including large technical reports (250+ pages)
- Run ad-hoc project reports and assist with accounts receivable, invoicing, and purchasing
- Provide basic graphic support (., inserting visuals into presentations)
- Print and collate project binders. Download materials and maintain organized filing systems
- Manage office supply inventory and place orders
- Oversee the upkeep of supply rooms, common areas, and conference rooms
- Handle incoming / outgoing mail
- Coordinate onsite meetings, including scheduling, web conferencing setup, catering, and room preparation
- Provide backup front desk coverage, including phone support and visitor reception
- Support the Corporate team with running reports and ad-hoc requests
- Assist HR with interview scheduling and candidate coordination
- Assist with frequent lunch ordering, setup, and cleanup
- Organize office events such as employee celebrations and holiday gatherings
- Minimum 3 years of administrative experience in a professional office setting
- Strong written and verbal communication skills
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional attention to detail and ability to manage multiple priorities
- Professional demeanor and customer service orientation
- Ability to lift 20 lbs. and manage light physical tasks
- Experience supporting professional staff
- Familiarity with project management systems and reporting tools
- Bachelor’s degree or higher preferred
