EMPLOYEE REFERRAL PROGRAM:

POSITION SUMMARY:
This position supports multiple regulatory boards, committees, and subcommittees by coordinating meeting logistics, preparing agendas and materials, and assisting with board and committee appointments. The position also assists with the certification and renewal processes for various professional certification programs and supports investigations of complaints involving certified and non-certified individuals. The Program Specialist III provides collaborative, organizational and logistical support across the Division, including special projects, ad hoc assignments, and operational processes.

Work is performed under general supervision in accordance with established policies, procedures and court rules.

Essential functions of this position include but are not limited to:

• Coordinate the preparation, posting, and distribution of agendas and materials, and manage logistics for regulatory board, committee, and subcommittee meetings.

• Administer and maintain membership, records, and operational documentation for multiple boards, committees, and subcommittees.

• Facilitate communication and coordination among board members, Division staff, courts, and external stakeholders, and respond to related inquiries.

• Draft legal notices, pleadings, orders, and confidential correspondence, and conduct background checks as part of certification and renewal processes.

• Maintain online and paper certification records and directories.

• Process Defensive Driving Program state fee payment reconciliations and monitor school compliance with program requirements, including surety bond and insurance.

• Support initial training for newly certified defensive driving schools on the Defensive Driving Tracking System (DDTS).

• Assist with AOC Help Desk tickets and serve as backup communications coordinator, including the preparation and distribution of program communications as directed.

After an initial period of at least three months in person, this position may offer the ability to work remotely up to two days per week, based upon the department's business needs and continual meeting of expected performance measures.

Public Service Loan Forgiveness (PSLF) Program qualified employer.

MINIMUM REQUIREMENTS:

The successful candidate will have a bachelor's degree and at least two years of related experience; directly relevant experience may substitute for the degree. This position requires the ability to manage high-volume workloads, prioritize tasks, and meet strict deadlines with accuracy, while working with limited supervision in a fast-paced, team-based environment. The individual must be able to understand and apply court rules, statutes, administrative codes, policies, and procedures;

draft legal documents; maintain organized files; and communicate diplomatically and effectively, exercise sound judgment and ensure timely follow-up of cases, applications, and meeting actions.

Preferred qualifications include prior legal, regulatory, or court experience; experience supporting committees, boards, stakeholder groups, or volunteer members; and familiarity with case management systems and workflows to support timely and efficient case processing.

TRAVEL:
Up to 20% in-state travel; valid driver's license required.
