About the role

If you're proactive, organized, and have strong interpersonal skills, we invite you to join our dynamic team at M Culinary as a Operations Scheduling Coordinator!

Key responsibilities include
  • Staffing & Scheduling:
    Enter and update all scheduled shifts in Nowsta for variable team members across FOH, BOH, Warehouse, and Nibblers.
  • Apply accurate tags, event names, and location details for each scheduled shift.
  • Maintain up-to‑date scheduling information in collaboration with the People Operations Manager and operational leads.
  • Communicate schedule confirmations, updates, and instructions to team members as needed.
  • Ensure all changes are accurately reflected in Nowsta and other internal systems.
  • Assist with preparation of weekly staffing summaries and distribution to event and department leaders.
  • Communication & Coordination:
    Manage the staffing phone, responding promptly to calls, texts, and inquiries regarding scheduling, event details, or check‑in procedures.
  • Serve as a point of contact for variable team members with questions related to shifts or event assignments.
  • Collaborate closely with the People Operations Manager to relay updates from Operations, HR, and event leadership.
  • Event and Administrative Support:
    Provide on‑site check‑in support during high‑volume events to ensure smooth arrivals, clock‑ins, and staffing transitions.
  • Assist with troubleshooting last‑minute scheduling or attendance issues during event load‑ins and service times.
  • Maintain professionalism and clear communication with event leaders during on‑site support.
  • Maintain accurate digital records of schedules, attendance, and staffing notes.
  • Support training logistics, including tracking attendance and assisting with classroom setup as needed.
  • Assist with weekly labor and staffing documentation to support payroll and reporting processes.
  • Participate in special projects and seasonal initiatives as assigned by the People Operations Manager.

The ideal candidate will have
  • Experience in hospitality, catering, or scheduling coordination preferred.
  • Strong organizational and time‑management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Working knowledge of scheduling or HR systems (Nowsta, UKG, or similar).
  • Proficiency in Microsoft Excel, Outlook, and shared file systems.
  • Professional demeanor with strong customer service and teamwork orientation.
  • Willingness to work evenings, weekends, and holidays as needed for event operations.
