- Coordinate onboarding activities for new staff and providers, including scheduling and documentation.
- Organize meetings, prepare agendas, take minutes, and track follow‑up tasks for Imaging Services leadership.
- Maintain personnel files and process payroll documents.
- Develop and edit presentations and communications using MS Office tools.
- Manage confidential data with discretion and accuracy.
- Set up multimedia equipment for meetings and presentations.
- Disseminate information and updates to the leadership team and other stakeholders.
- Assist in planning and executing special events.
- Serve as liaison between Imaging Services and internal departments (HR, Risk Management, etc.).
- Orient new staff on administrative processes and office equipment.
- Maintain organized electronic and physical filing systems.
- Associate degree in business preferred.
- Must have supplemental formal training and/or on‑the‑job training approved by the hospital.
- Knowledge of medical terminology.
- Minimum of 3 years as an Administrative Assistant.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook (and Teams).
- Strong writing, editing, and communication skills.
- Excellent time management and organizational abilities.
- Ability to multitask and prioritize in a fast‑paced, sometimes chaotic environment.
- High level of discretion with confidential information.
- Ability to work independently and anticipate needs.
Physical Requirements
- Primarily office‑based with occasional travel to other First Health or community locations.
- Requires sitting, standing, walking, and occasional lifting.
- Must be able to operate office equipment and communicate clearly.
- Fast‑paced and potentially stressful environment with multiple concurrent demands.
